Job Summary:
The Global Product Executive Assistant will be responsible for managing a variety of important functions requiring independent judgment and using tact and diplomacy in dealing with various levels of management. The position requires efficiency in complex scheduling, exercising discretion and independent judgment in matters of importance and ensures the general operations of the Global Product department are functioning to maximum capacity. Major Responsibilities/Activities:
- Maintain and manage calendar of head of team and perform administrative tasks, including:
- All scheduling work
- Ensure materials are available/provided for all meetings in advance
- Ensure printed copies are provided for meetings organized by head of team
- Approval of vacations, expenses, timesheets etc.
- Prepare expense reports and team invoices
- Arrange work related travel
- Organize complex meetings for team members involving large and/or executive level attendees
- Prepare expense reports for team members as needed
- Organize team town halls and team events
- Maintain catalogue of all product committee decisions
- Maintain the condition of the office and arrange for necessary repairs with facilities
- At least 5 years of professional experience supporting senior management within financial services
- Four-year college degree strongly preferred
- Self-reliant, proactive, analytical, good problem solver, results and detailed oriented
- Exceptional written, oral, interpersonal, and presentation skills
- Effectively interfaces with all levels of employees
- Able to manage multiple tasks with precision and urgency
- Strong work ethic with passion for client service
- Proficient in Excel and PowerPoint
- Demonstrates inclusive behaviors in support of a culture that values diverse perspectives
