Job Title: Document Control Specialist

Job Description

The document control specialist will take documents and put systems in place. They are in charge of managing the company's forms and data according to legal and company regulations. The role involves working on document changes, running records on cases, adjusting on the fly, and meeting deadlines. Additionally, the specialist will communicate with clients for follow-ups, control the incoming and outgoing documentation process, and maintain files and project reports. Duties and Responsibilities:

  • Define normal standards and workflows for document management.
  • Administer the collection, authorization, publication, storage, and retrieval of documents.
  • Develop and maintain a project document indexing and filing system.
  • Undertake document classification, sorting, filing, archiving, and retrieval of documents in accordance with the project document indexing and filing system.
  • Develop a record retention policy.
  • Prepare records for inactive storage according to the record retention policy.
  • Implement a document numbering system to facilitate tracking and retrieval of records and reference materials. This needs to be done for both soft and hard copies.
  • Liaise with clients to bridge any communication gaps to ensure that all project documents are reviewed and submitted prior to the submission due date.
  • Add metadata to existing records according to their own developed policy or through consultation with a data systems consultant.

Hard Skills

  • Extensive prior experience in document management
  • Very strong PDF (Adobe & PDF-Xchange) & Microsoft Word skills
  • Strong critical thinking & problem-solving skills
  • Experience with document tracking software (bates numbering)
  • Experience overseeing the storage, organization, and disbursal of records and documentation, observing legal guidelines and best practices

Soft Skills

  • Strong attention to detail
  • Strong written & verbal communication skills
  • Ability to prioritize, work under pressure, and meet deadlines

This is a Contract-to-Hire position with a duration of 9 Month(s).

Work Site

This is a fully on-site position in Suwanee, Georgia.

Work Environment

Work schedule: 8am-5pm. Working alongside two others in an office environment (executive assistant and project manager/technical writer). The executive assistant has been working for the company for a long time and has a certain way of doing work. The PM/Tech writer helps write reports and reviews. Both of them are under pressure and not able to do their work effectively.
