Job Summary

Responsible for building and maintaining operational, administrative, and financial infrastructure for a fast-growing technology organization. Key member of the management staff, responsible for operational, finance, administrative functions

Duties/Responsibilities:

  • Maintain organization’s daily operations and processes, and perform related duties as assigned to fill “white spaces”

Operations:

  • Implement and maintain robust processes and policies for company product operations, including program management, and supply chain management:

Coordinate weekly meetings between engineering, business, and operations, to track supply/demand (Sales & Operations Planning), and engineering deliveries

Track and report on product Bill of Material (BoM) as impacted by customer specs, engineering decisions and suppliers and drive cost reduction activities across the organization

  • Drive suppliers on deliveries and cost, in close collaboration with the business and engineering teams
  • Instill a program management process and discipline for business and engineering teams to track customer and partner solution deliveries

Finance:

  • Provide finance and P&L analysis, cash flow forecast reports, by researching and analyzing accounting data, and in collaboration with outside consultants
  • Track accounts receivable (AR) and aging reports, and ensure that PO balances are current, and communicated with sales team, and drive collections as needed.
  • Accounts Payable (AP) – Ensure invoices are reviewed, entered, and processed for on time payment.
  • Interface with, and manage company’s outside financial consultants, banking relationships, and tax advisors, for effective cash management, annual 1099 distributions, audits, etc.

Administrations – HR, Legal, and Office Management:

  • Manages entire employee experience, from the moment an individual applies to a position, to onboarding, employment, and separation.
  • Manage employee compensation and Employee Benefits
  • Collaborate with other management staff to review and execute the annual Open Enrollment
  • Collaborate with all management staff to identify and deliver the required administrative support operations for the organization
  • Ensure organization compliance with applicable employment laws
  • Develop, direct, and coordinate the implementation of employment law (updates), goals, objectives, policies, procedures, and work standards
  • Maintain corporate legal files, and contracts, and interface with outside counsel as needed, and ensure compliance with domestic and international laws such as, but not limited to, FCPA, Sexual Harassment, anti-bribery, security, etc.
  • Manage all aspects of daily office operations, such as interface with landlord, cleaning services, utilities, food service, etc.

Required Skills/Abilities:

  • Thorough understanding of electronics supply chain and processes, and ability to scale the organization from “Excel worksheets” phase towards sophisticated tools and applications such as Oracle, etc.
  • Thorough understanding of program and project management principles and applications, and product lifecycle management, including hardware and software.
  • Thorough understanding of, or ability to learn quickly, payroll and accounting system(s), recordkeeping systems, management information systems, and related protocols used in the organization.
  • Excellent verbal and written communication skills.
  • Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.
  • Strong leadership and supervisory skills, organizational skills, and attention to detail
  • Excellent time management skills with proven ability to meet deadlines.
  • Extremely proficient with Microsoft Office Suite, Google office or related software
  • Able and willing to learn new systems and apps such as Rippling, Betterment, Docsend…

Education and Experience:

  • Bachelor’s degree in Operations Management, Business Administration, Supply Chain, Industrial Engineering, or related fields, is required
  • Minimum five years of experience in operations, sales operations, Program Management, supply chain management, product engineering, or similar roles required
