The Chief of Staff is a trusted advisor to the CEO that provides leadership and management to ensure project coordination activities initiated are carried out in a professional, timely, and high-quality manner. This individual is tasked with overseeing and optimizing the CEO’s time by helping to prioritize tasks relating to the CEO’s professional and personal life which range in varying complexity and making better decisions to achieve efficiency. As the CEO’s right hand, this individual will exercise exceptional time management, project management, prioritization, and preparation skills to ensure all C-suite leaders stay focused on the continued growth and well-being of the company. The Chief of Staff ultimately serves as a true extension of the CEO for the organization both internally and externally, in both the personal and professional life of the CEO.

What You’ll Do


  • Supports the CEO to ensure smooth operations throughout both the organization and the personal life of the CEO.
  • Responsible for building and maintaining the CEO Office Team
  • Serves as single, highest point of accountability for the CEO – manages all members of the Office of the CEO, and indirectly manages all members of the CEO house staff.
  • Sets the agenda and initiatives for the CEO’s Office.
  • Supports the strategies of the CEO with intensive follow-up and management of projects.
  • Provides oversight of the CEO’s office staff’s projects, tasks and directives, in order to ensure CEO stays on track and productive
  • Manages CEO with an emphasis on time management in a manner which increases focus of CEO on “highest and best” priorities
  • Communicates as CEO, via email, in his tone
  • Manages CEO emails by deleting spam, responding to emails (where appropriate) as either Chief of Staff or CEO, and making sure that CEO addresses all emails with an appropriate sense of urgency; prompts CEO to address emails that have been unaddressed for too long.
  • Leads hiring process for all C-Suite hires.
  • Serves as a force multiplier to increase the productivity of the CEO’s office while managing and eliminating stress of the CEO.
  • Prepares presentations and meeting materials on behalf of CEO.
  • Vets presentations and meeting materials from other stakeholders prior to meeting where they are disseminated to CEO. Saves CEO time by ensuring each meeting has appropriate data readily accessible.
  • Works proactively to review and provide feedback on deliverables from other departments before submitting to CEO.
  • Serves as the bridge across departments, managing and monitoring high-level projects and ensuring proper effectuation of initiatives on behalf of the CEO.
  • Represents CEO in regular stakeholder meetings to provide oversight of critical organizational processes and projects.
  • Provides direct oversight and management of important (as designated by the CEO) and/or time intensive projects that are either personal or professional in nature.
  • Facilitates collaboration across C-Suite to assess key performance indicators, ensure maximization of resources, and evaluate team performance data captured to review and consider advance comprehensive business initiatives and guide informed business decisions.
  • Represents in the highest professional light the CEO in both internal and external meetings where CEO is not available to attend.
  • At all times, represents the CEO and the CEO office with professionalism, effectiveness, and kindness.
  • Devises and employs an effective system to ensure that relevant information is disseminated to stakeholders in a timely manner.
  • Excessively follows-up with internal stakeholders to ensure deadlines are met.
  • Meets with department heads regularly, attends C-Suite meetings and coordinates C-Suite level round table discussions on strategy as needed, updating CEO on a “need to know” basis.
  • Utilizes advanced problem solving skillset to solve problems in both the personal and professional life of the CEO, while updating CEO on a “need to know” basis.
  • Works closely with C-Suite to keep them well informed of upcoming commitments and responsibilities while also keeping them abreast of changes in a rapidly evolving and fluid environment.
  • Proactively meets with the leadership team of all departments to identify problems, strategize to fix, and increase company efficiencies – communicating and updating the CEO on a “need to know” basis.
  • Establishes and monitors workflow for CEO’s Office team to maintain optimal efficiency.
  • Holds all team members working under the CEO accountable to the expectations of performance set by the CEO.
  • Establishes and maintains processes to ensure the CEO’s deliverables assigned to team members are met through excessive follow-up and sense of urgency.
  • Identifies and manages external partnerships on behalf of the CEO and the organization.
  • Works closely with the CEO on directives given and deliverables due, keeping CEO abreast of impending deadlines and missed deadlines.
  • Identifies and manages philanthropic initiatives, contributions, and relationships on behalf of the CEO, personally and professionally.
  • Identifies and manages membership in external organizations on behalf of CEO.
  • Performs intensive project management on both the CEO’s personal, and professional projects and initiatives.
  • Utilizes experience, efficiency, and “reach” by serving communities on a local, state, and national level with board involvements and appointments.
  • Build, manage, and maintain relationships with business contacts, personal contacts, vendors, and contractors on behalf of the CEO.
  • Provides oversight to acquisitions on behalf of the CEO – homes, jewelry, airplanes, automobiles, art, rare books, businesses, etc.
  • Uses the utmost discretion to protect the privacy of the CEO and his family.


Requirements

Education/Experience and Other Requirements


  • BS/BA in Business Administration or relevant field acceptable, MBA (or equivalent experience) highly preferred with 10+ years of experience supporting C-Suite preferred
  • Successful work experience as an Executive Assistant to a full C-Suite: 7 years (Required)
  • Successful work experience as a Chief of Staff: 3+ years (Required)
  • Microsoft Office: 7 years (Required)
  • A fundamental understanding of data analytics and a critical thinking ability to extrapolate trends from data and infer appropriate operational interventions.
  • Willingness to sign a confidentiality agreement.
  • Must maintain clean background/drug screenings and driving record.
