Our Association Management Team is a specialized group of professionals who work to understand the client’s vision and support the board and committees as they focus on goals to ensure the association’s successful future.

The Association Manager oversees the association’s administration and provides support to the Executive Director and the Board of Directors in coordinating, organizing, and implementing the efforts of up to two professional associations. You will have the support of Etherio team members and cross-functional centers of excellence across the company to achieve the client’s organizational goals. In this role, you will provide consultation and project prioritization over a diverse set of tasks – liaising with the client Board of Directors, managing volunteers, creating and executing marketing and communications campaigns, supporting educational programming and event management, and more.

Essential Functions

Association Management

  • Support the day-to-day operations of the association client(s) working closely with the association team.
  • Support the Board of Directors and volunteer committees to set and achieve organizational goals and cultivate relationships with association members.
  • Responsibly manage organization’s resources within budget guidelines.
  • Collaborate with various shared service teams including marketing, accounting, technology and events to deliver exceptional client support.
  • Support the overall goals and objectives of the association through additional responsibilities as required.

Membership

  • Handle member inquiries and requests serving as a primary contact for a client’s phone, email, and on-line membership presence.
  • Maintain the membership database and ensure the accuracy of its content.
  • Manage the member renewal and recruitment processes, communications, and reporting.
  • Maintain membership files and ensure all payments are received, processed, and reconciled.
  • Provide membership analytics for board and committees
  • Event and Registration Management
  • Maintain and support web-based event and registration systems.
  • Provide support for registration and membership services.
  • Maintain registration history documentation and compile registration reports for each event.
  • Use association management software to compile invoices and finalize database wrap-up.
  • Lead registration efforts for annual conference.
  • Support association committees dedicated to events.

Marketing and Communications

  • Design and implement client marketing communications, including email, website, press releases and common social media channels.
  • Write, edit and proofread communications for all client content projects as needed.
  • Adhere to all communications-related policies and procedures.
  • Develop and maintains website content to ensure relevancy and consistency.

Education

  • Participate in education session coordination and administration for association events.
  • Develop and manage speaker guidelines and selection processes to achieve goals and objectives for client events.
  • Manage educational webinars for association membership, including securing speakers, marketing and registration, event hosting and facilitation.

Minimum And Preferred Qualifications

  • Bachelor’s degree, preferably in Business, Marketing or Communications.
  • 3-5 years of not-for-profit management experience with proven success in one or more functional areas of association management: operations, marketing, sales, communications, volunteer relations, financial management and/or other demonstrated business acumen.
  • Strategic thinker, receptive to new ideas and opportunities, with the ability to drive results.
  • Strong interpersonal skills including presentation skills, networking and a customer service mindset.
  • Strong organizational skills and ability to multitask and prioritize.
  • Positive attitude and ability to be self-motivated.
  • Strong written and verbal communication skills.
  • Adaptability and flexibility.
  • Sound judgment.
  • Strong project and team management skills.
  • Experience in Microsoft applications.
  • Experience with association management software preferred.

WORKPLACE LOCATION REQUIREMENTS

We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.

Travel Requirements

Ability to travel at most 25%.

Scheduling Requirements

Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.

Essential Physical Functions And Work Environment

  • Must be able to remain either in a stationary position most of the time (such as when working in the office), while also being able to stand and/or move for the majority of the time (such as when executing events onsite).
  • Need to lift, carry, push, or drag boxes or equipment up to 30 lbs.
  • Frequently moves inside the office to access file cabinets, office machinery, etc.
  • Need to adapt and function in various physical settings (for example, conference centers, indoor and outdoor spaces).
  • Occasionally required to position self in a stooping, kneeling, or crouching manner.
  • Frequently required to use hands or fingers, handle or feel objects, tools, machinery and computers.
  • Frequently communicates with others and must be able to exchange accurate information in these situations.
  • Frequently operates a computer and other electronic equipment.
  • The noise level in the office work environment is usually low to moderate, while event environments may be moderate to noisy.
