Our client is seeking a highly skilled and dynamic Executive Assistant to support a team of Partners, MD's, VP's at a prestigious global asset management firm located in Midtown Manhattan. The successful candidate will bring extensive experience in executive assistance, particularly with client-facing and C-suite roles. This role is ideal for a professional who thrives in a fast-paced, high-stakes environment and is adept at managing complex schedules, high-level meetings, and sensitive communications.

Key Responsibilities:

  • Calendar Management: Expertly manage the Global Head's intricate calendar, coordinating meetings, appointments, and international travel. Ensure scheduling is optimized and conflicts are resolved efficiently.
  • Meeting Coordination: Organize and prepare for high-profile meetings and presentations, including drafting agendas, arranging venues, and compiling necessary documentation. Facilitate seamless execution of meetings and follow up on action items.
  • Travel Arrangements: Handle comprehensive travel arrangements, including booking flights, accommodations, and transportation. Ensure all travel plans are executed smoothly, with attention to detail and flexibility.
  • Client and Stakeholder Communication: Act as a primary point of contact for clients and senior stakeholders. Manage correspondence and communications with professionalism, representing the Global Head and the firm with poise.
  • Document and Presentation Management: Prepare and review reports, presentations, and other critical documents. Ensure accuracy and presentation quality, maintaining a high standard of professionalism.
  • Project and Event Support: Assist with special projects and business development initiatives. Coordinate and manage events such as conferences, investor meetings, and client engagements, ensuring all logistical details are handled.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and integrity. Maintain professionalism in all interactions and safeguard proprietary data.

Requirements:

  • Experience: Minimum of 5 years of experience as an Executive Assistant, with a strong preference for experience in asset management or financial services. Proven experience supporting C-suite executives and managing client-facing responsibilities is highly desirable.
  • Skills: Exceptional organizational, time-management, and multitasking skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools. Outstanding communication and interpersonal skills.
  • Education: Bachelor’s degree in Business Administration, Finance, or a related field is preferred.
  • Attributes: Demonstrated ability to handle confidential information discreetly and manage high-pressure situations with professionalism. Strong problem-solving skills and a proactive approach to anticipating needs.
