The Atlantic Group has partnered with an investment firm in the San Francisco, CA area. They have an immediate need for an Executive Assistant to join their team. This position is a full-time contract role with an open-ended timeframe.

The Role

Searching for an Executive Assistant to join our team, they will be responsible for supporting junior level investment professionals with expense support. The position will work closely with other members of the global administrative team and the Human Capital Management (“HCM”) team.

Work Schedule: Anticipated hours to be 9am – 6pm, however, hours may change based on team needs. In office Monday through Thursday, with office presence optional on Fridays (EAs on a weekly schedule to cover office on Fridays i.e. one EA in office each Friday).

Core Responsibilities

  • Support approximately 10-15 team members of varying levels of seniority in the NY office
  • General administrative assistant duties as follows:

O calendar administration and coordinating meetings/interviews across multiple time zones

O travel management (domestic and international)

O phone coverage

O expense reporting for team

O inbox cover for EA teammates when necessary

  • Liaising with external vendors and business contacts
  • Coordination of various office events
  • Handling sensitive documents such as legal documents, invoices, presentations and more
  • Management of multiple party signatures for various documents

Preferred

  • 3 – 4 years of pertinent office experience required; financial services preferred
  • Bachelor’s degree
  • Mastery of Microsoft Office suite of software products (Excel, Word, Outlook, PowerPoint, etc.)
  • Proficient in the use of common office equipment and ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Strong written, grammatical, and oral communication skills
  • Strong organizational skills
  • Demonstrated history of working with integrity, discretion and a high level of competency
  • Ability to multi-task and prioritize while working with different team members
  • Ability to solve practical problems; highly motivated to deliver results
