Seeking a highly organized and proactive Executive Assistant to support a busy Commercial Real Estate Brokerage Team. The ideal candidate will have strong administrative skills, excellent communication abilities, and a keen attention to detail. This role requires managing daily operations, coordinating schedules, and providing comprehensive support to ensure the smooth functioning of the brokerage.

Key Responsibilities:

  • Manage and maintain the broker’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Handle incoming communications, including phone calls, emails, and correspondence, and respond on behalf of the broker when appropriate.
  • Prepare and edit documents, presentations, and reports.
  • Conduct research and compile data for meetings, proposals, and projects.
  • Assist in the preparation and processing of real estate transactions, including document management and compliance.
  • Coordinate and organize marketing efforts, including social media, email campaigns, and promotional materials.
  • Maintain and organize electronic and paper filing systems.
  • Act as a liaison between the broker, clients, and other stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative duties as needed to support the broker and the brokerage team.

Qualifications:

  • Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
  • Minimum of 3 years of experience as an Executive Assistant, preferably in the real estate industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and multitasking abilities.
  • High level of professionalism and confidentiality.
  • Ability to work independently and as part of a team.
  • Knowledge of commercial real estate terminology and processes is a plus.
