Job Overview: The Payroll Supervisor manages and oversees the payroll team to ensure accurate and timely payment and reporting for multi-state payrolls, including special payrolls such as severance pay and bonuses. This role involves supervising daily payroll operations, reviewing metrics and audit controls for compliance, and working closely with other teams within the payroll department and across the organization. Additionally, the position requires participation in year-end payroll functions and application of payroll tax and law knowledge.

Essential Duties & Responsibilities:

  • Daily Payroll Operations: Supervise the payroll team to ensure adherence to established processes, procedures, and standards, including large bonus processing and year-end reporting.
  • Bi-Weekly Processing: Oversee bi-weekly payroll processing and ensure all deadlines are met.
  • Compliance and Audits: Review audit reports, enforce cut-off times, and coordinate with the Payroll Support Team for system maintenance and schedules.
  • Protocol and Procedures: Review and refine payroll protocols and procedures, including manual checks and time clock records.
  • Documentation: Ensure appropriate backup documentation for bi-weekly payroll.
  • Process Improvement: Train payroll coordinators, recommend changes for efficiency, and implement process improvements.
  • Communication: Develop and maintain strong relationships with all areas of payroll and field locations.
  • Compliance Knowledge: Stay informed about regulatory issues affecting payroll and ensure adherence to laws and regulations.

Teammate Management:

  • Leadership: Provide guidance and support to direct reports, ensuring all employment policies and procedures are communicated and followed.
  • Development: Facilitate teammate development, performance evaluations, and address any issues as necessary.
  • Compliance: Ensure compliance with employment processes, policies, and applicable laws, including handling hiring, promotions, and disciplinary actions.
  • Metrics Reporting: Report performance metrics to the Payroll Manager and address teammate relations issues appropriately.

Qualifications:

  • Education: High school diploma or equivalent required; Bachelor s degree in a related area preferred.
  • Experience: Minimum of three years payroll experience in a multi-state environment, including supervisory experience.
  • Certifications: CPP (Certified Payroll Professional) designation preferred.
  • Skills: Intermediate proficiency in MS Word, Outlook, and large-scale electronic payroll systems; advanced skills in MS Excel; basic proficiency in PowerPoint strongly preferred.
  • Process Improvement: Experience with process flow redesign/improvements.
  • Additional Skills: Demonstrated ability to delegate, coordinate, and motivate team members effectively.

  • Travel: Limited travel as needed.
  • Emergency Management: Ability to act confidently and swiftly in emergencies.
