Job Title: Communications Support Specialist

Reports to: Director of Communications

Essential Functions

  • Perform administrative work and provide support to the Communications and Learning Departments as needed
  • Provide administrative support to the events coordinator with execution of large-scale events including printing needs, creating name badges and surveys, and budget tracking
  • Maintain calendars, set appointments, schedule meetings and workshops; monitor and make necessary adjustments as needed to the weekly conference room activities
  • Monitor the Communications Department budget and process receipts and invoices for all departments' marketing materials
  • Maintain and update EdPlus intranet (SharePoint)
  • Send out weekly emails to EdPlus staff with current registration numbers and weekly schedule of events/workshops and monitor the event submission process.
  • Process reimbursements, order supplies and make hotel reservations for designated Regional Professional Development Center (RPDC) staff
  • Assist outside groups with facility reservations, ordering food, room set up, etc.
  • Serve as a back-up to the Receptionist position, covering sick leave and vacation
  • Perform other and related duties as assigned by the Director of Communications or other members of Cabinet that are in keeping with department/company goals

Competencies, Knowledge, Skills, Abilities

  • Regular attendance is required to provide support to EducationPlus
  • Possess strong interpersonal skills, including the ability to listen, work in groups, communicate both verbally and non-verbally in a professional manner, negotiate with others, and solve problems
  • Requires movement about and within a department area
  • Operates computer hardware for programming or applications; stays abreast of changes in technology and participates in necessary training to maintain appropriate level of skill necessary for efficiency in position
  • Communicates with staff, EducationPlus members, vendors, suppliers, etc. via telephone, email and mail

Required Education/Experience/Certifications/Licensures

  • High school diploma
  • Prior experience in a customer service role dealing with the general public
  • Requires the use of common sense understanding of instructions in written, oral or diagrammatic form; the ability to handle problems involving concrete variables in standardized situations; the use of general math; reading, writing, mathematical and computational skills, and conversing at a level commonly associated with a high school diploma
  • Competency in the use of computer software (Microsoft Office Suite preferred).

Preferred Education/Experience/Certifications/Licensures

  • Degree (Associates, Bachelors, etc.)
  • Experience as a secretary or administrative assistant, technical skills, reading, writing, mathematical and computational skills, and conversing at a level commonly associated with an Associates degree
  • Competency in the use of computer software, including Microsoft Office Suite.
  • Experience in using social media platforms for marketing.

Physical Demands

Exerts up to 20 pounds of force occasionally and/or exerts up to 10 pounds of force frequently, and/or exerts a negligible amount of force constantly. Must be able to perform duties that require sitting for extended periods of time during normal shift; must have excellent manual dexterity including the ability to perform repetitive motions; must be able to operate telephone, computer equipment, and various other pieces of office equipment

Environmental Working Conditions

This position operates in a professional office environment and/or school environment.

Equipment Used

Standard office equipment, including but not limited to computer/laptop and associated software, copy machine, printers, scanners, laminator, poster printer and adding machine/calculator, etc.

Travel Requirements

Periodic travel to work sites within the membership area may be required.

Expected Hours Of Work

Normal operating hours for this position are 8:00 a.m.-4:30 p.m. Monday through Friday, unless it is determined by administration that the hours should be different. Summer hours (June and July) are 7:00 a.m.-5:00 p.m. Monday through Thursday.

Compensation: $24.04 per hour; full benefits package, including PEERS retirement

Term of Employment: Full-Time, 12 month
