About The Position

An Administrative Assistant plays a critical role in the day-to-day operations in SILP . Communication and utilizing good people skills is crucial to this position . Administrative Assistants provide support for staff, collaterals, clients, families and the public . This position involves office support services to SILP program staff, including maintaining client records, completing file reviews, coordinating services, tracking client documentation, comm unicating effectively with staff, answering phones, and assisting visitors . As an Administrative Assistant you will work closely with staff members, management, and external agencies to uphold the highest standard of compliance, and quality of care for our residents . They must be able to work in a diverse environment where diversity, equity, inclusion, and belonging (DEIB) is respected and maintain sensitivity to issues of race, religion, culture, and ethnicity .

Job Function

  • Creates and maintains clients working files for all youth in TLP, DD TLP, and ILO
  • Tracking budget and ordering of office supplies ensuring supplies are available and office machinery is in working order
  • Maintain and track discharge files and follow process on sending back to DCFS
  • Create and send out notice of admits and discharges
  • Create DCFS clinical referrals for all new admits
  • Assist in meeting accreditation standards
  • Send, track, and Internal and external mail for program
  • Answers phones in the front office and welcomes visitors and guests adhering to the people’s first principles in a culture of care.

Job Qualifications

  • Minimum high school education.
  • Five years of previous office experience.
  • Possess good skills in written and oral communication
