Fuel Talent is partnering with Global Health Labs in their search for an experienced Business Administrator to be a part of their global administrative team. Ideal candidates will demonstrate business acumen and coordination skills as well as the ability to effectively engage with internal and external stakeholders. This is a full-time role working hybrid onsite in Bellevue, WA 3+ days a week.

Organization Overview:

Global Health Labs, Inc (GH Labs) is a nonprofit organization created in 2020 by Gates Ventures (the private office of Bill Gates) and the Gates Foundation, with an inspiring and ambitious mission to develop innovative solutions to address unmet needs in primary healthcare and the last mile.

Driven by a team of about 100 scientists, researchers, global health experts, and project managers, GH Labs develops innovative solutions to address critical technology gaps in low-resource environments with a focus on three primary areas serving Low- and Middle-Income Countries (LMICs):

  • Diagnostics (‘Dx’)
  • Maternal, Newborn & Child Health (‘MNCH’) Tools for Primary Healthcare Centers
  • Primary Healthcare Center (‘PHC’) Hardware and Equipment

Recent innovations developed by the GH Labs team include a new COVID-19 antigen test, a novel ultrasound technology suited to low-resource environments to detect various lung diseases, an AI-enabled tool to detect cervical cancer with a smartphone in primary care settings, and a vaccine cold chain container.

Role Summary:

The Business Administrator will provide a wide and varied range of administrative and organizational support, in service of GH Labs’ mission. They will be the lead person for all travel-related services within the organization. The Business Administrator will also assist with ad-hoc projects and plan and organize team-wide and company-wide events that support the mission and the culture of the organization. An ideal candidate for this role is someone who enjoys administrative responsibilities, thrives in a fast-paced environment, and excels at time management, organization, and planning skills.

As a member of the GH Labs Support Network, which is responsible for supporting the core operational and administrative needs of the organization, the Business Administrator will collaborate with multiple colleagues across the organization. Additionally, they will establish relationships with key stakeholders and external partners, including but not limited to the Gates Foundation and Gates Ventures.

Key Duties and Responsibilities:

The Business Administrator works as a team member to ensure the consistency of administrative support in alignment with the service of the organization’s mission. The role will support senior leadership and members of their teams.

Key responsibilities include:

-Calendar management:

  • Assist with scheduling internal stakeholder meetings and external meetings that may include multiple partners across multiple time zones
  • Responsible for business guest management, conference room logistics, AV, and catering

-Team meeting and event coordination:

  • Schedule and plan for team meetings; on-site, off-site, hybrid, and virtual meetings
  • Assist with preparing and disseminating meeting materials as needed
  • Act as the onsite point of contact when required

-Expense Reporting:

  • Prepare, process, and submit expense reports for senior leadership

-Travel services administration:

  • GH Labs point of contact for all services related to travel, including visa processing
  • Data input and tracking
  • Travel security liaison and relationship management
  • Assist with maintaining and updating travel-related documents and policies

-Support the GHL Support Network with organizational culture efforts and events:

  • Fulfill catering requests for companywide events and appropriately staff the events

-Provide back-up coverage for other Business Administrators as needed.

-Work proactively and take initiative to support the varying needs of the teams.

-Work on team-specific projects as needed.

Required Skills and Experience:

  • College degree or equivalent relevant professional experience
  • 3 years of progressive experience in a role performing administrative or coordinator job functions in a fast-paced environment
  • Experience with juggling multiple requests from multiple individuals, setting priorities, and meeting deadlines
  • Excellent oral and written communication skills
  • Event planning experience – both small and large convenings
  • Experience building and maintaining organizational support processes and tools
  • Strong attention to detail
  • Ability to apply critical thinking and problem-solving solutions in support of our organization’s mission
  • Proficient with MS Office Suite, with particularly strong skills in Outlook, OneNote, and MS Teams. Proficiency in SharePoint, PowerPoint, and Excel are a plus
  • Strong interpersonal and intercultural communication skills, both verbal and in writing
  • Passion for administrative work with a proven positive, collaborative approach to work, including a commitment to customer service and problem solving
  • Passion or interest in organizations related to global health innovations

Pay & Benefits :

GH Labs is committed to paying employees equitably for substantially similar work. A reasonable estimate of the current salary range for this position is $77,600 to $121,250. GH Labs aims to hire new employees between $77,600 to $97,000 allowing future compensation growth within the range based on aptitude in the role and context, and progress and performance against goals over time.
