Recently listed on Inc. 5000 Fastest Growing Companies in the Southeast, our client is rapidly expanding. They are seeking an Executive Assistant who can help the CEO and COO with a variety of tasks and responsibilities. You will be a key player in moving the organization forward.

About the Role:

We are seeking an experienced and highly organized Executive Assistant & Office Manager to support our CEO and COO in managing both professional and personal responsibilities. This role is integral to our executive leadership team, requiring a blend of strategic thinking, attention to detail, and hands-on execution.

You will be the go-to person for a wide range of tasks and responsibilities.

Key Responsibilities:

Executive Support:

  • Proactively manage complex calendars, including scheduling meetings, coordinating with internal and external stakeholders, and ensuring all appointments are prioritized effectively.
  • Arrange domestic and international travel for the CEO, COO, and other executives, handling all aspects from booking flights and accommodations to creating detailed itineraries and handling any last-minute changes.
  • Coordinate executive leadership meetings, including finding and booking suitable venues, arranging necessary equipment, confirming attendance, and ensuring all logistics are in place.
  • Prepare and organize meeting materials, take minutes during meetings as needed, and follow up on action items to ensure timely completion.

Office Management:

  • Oversee daily office operations, including managing supplies, snacks, office technology, and general upkeep of the workspace to create a productive environment.
  • Onboard new employees, ensuring they have all necessary equipment, access to keycards, and an understanding of company protocols.
  • Serve as the main point of contact for any office-related needs, addressing issues promptly to maintain a smooth office operation.

Event Planning & Coordination:

  • Plan and execute company events, such as executive offsites, team meetings, and special functions. Responsibilities include selecting venues, arranging catering, coordinating travel, and providing on-site support.
  • Work with external vendors and service providers to ensure events are executed seamlessly and within budget.

Personal Assistance:

  • Coordinate with the house manager to assist with personal tasks for the CEO and COO, including managing family errands and coordinating household activities as needed.
  • Provide additional personal support, such as booking personal travel, managing personal calendars, and handling any ad-hoc tasks that arise.

Requirements:

Location:

  • Must be based in Atlanta, GA, and able to work from the office on Wednesdays.

Experience:

  • Minimum of 5 years of experience in an executive assistant, preferably supporting C-level executives.
  • Proven ability to manage complex calendars and travel arrangements with precision.
  • Experience in coordinating high-level meetings and events with attention to detail.

Skills:

  • Exceptional organizational and multitasking skills, with a demonstrated ability to prioritize and manage multiple projects simultaneously.
  • Strong communication skills, both written and verbal, with the ability to interact effectively with senior executives and external partners.
  • Proficiency in office management software and tools, including Microsoft Office Suite, Google Workspace, and project management tools.
  • Highly proactive, with a can-do attitude and the ability to anticipate needs before they arise.
  • Discreet and trustworthy, with the ability to handle confidential information with the utmost care.
  • Adaptable and flexible, comfortable with shifting priorities and last-minute changes.
  • Highly responsive and proactive to needs as they arise

Salary: $80,000-$100,000 DOE
