Position Summary:

The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer of our cardiology practice. This role demands a dynamic individual who excels in executive support and has a background in property management. The Executive Assistant will ensure the CEO's office operates smoothly and efficiently.

Key Responsibilities:

Executive Support:

  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments to optimize time management and ensure priorities are addressed.
  • Prepare and edit correspondence, reports, presentations, and other documents as required by the CEO.
  • Coordinate and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with discretion and professionalism.

Communication and Liaison:

  • Serve as a primary point of contact between the CEO and internal/external stakeholders, including staff, patients, vendors, and business partners.
  • Manage and prioritize incoming communication, including emails, phone calls, and mail, ensuring timely responses and appropriate follow-ups.
  • Represent the CEO in meetings and interactions as needed, maintaining a high level of professionalism and organizational knowledge.

Commercial Real Estate Property Management:

  • Oversee the management of commercial real estate properties, including leasing, maintenance, and tenant relations.
  • Coordinate with property management teams, vendors, and contractors to ensure property upkeep and address any issues promptly.
  • Monitor property performance, including financial reports and occupancy rates, and report findings to the CEO.
  • Handle lease agreements, renewals, and negotiations, ensuring compliance with contractual obligations and optimizing property utilization.

Administrative Tasks:

  • Organize and maintain electronic and physical filing systems, ensuring accuracy and confidentiality of sensitive information.
  • Manage travel arrangements, including booking flights, accommodations, and transportation for the CEO.
  • Process expense reports, purchase orders, and invoices in accordance with company policies.
  • Coordinate special events, meetings, and corporate functions as directed by the CEO.

Strategic and Operational Support:

  • Assist in the development and execution of strategic initiatives and operational plans.
  • Conduct research and prepare briefing materials for the CEO on various topics, including industry trends and competitive analysis.
  • Support the CEO in developing and implementing organizational policies and procedures.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, Real Estate, or a related field.
  • Experience: Minimum of 3 years of experience as an executive assistant supporting executives in a healthcare setting
