Top tier venture firm with a renowned portfolio of high-profile companies is looking for an Executive Assistant to support the Head of Investor Relations and IR team. This VC interacts with the who’s who of business, politics, and entertainment. Be a part of a collaborative, hard-working team providing admin support to the Head of IR as well as own aspects of the IR function by supporting and implementing processes. Previous experience as an EA in a finance, legal, IR, or similar team is preferred. This is a mostly in-office role Monday through Thursday based near SoHo in NYC, with Friday’s work from home. 140-160K DOE + carry, amazing health benefits, bonus, 401k with matching, flexible PTO, lunch stipend, annual team trips, and gym in the office!

Responsibilities:

  • Proactively manage and arrange the calendar to ensure the Head of IR’s schedule is aligned with priorities.
  • Coordinate and arrange a high volume of meetings with key stakeholders - both internal and external.
  • Book travel arrangements and transportation, and prepare detailed itineraries including both domestic and complex international travel arrangements.
  • Support and implement processes for the IR team.
  • Own and manage the CRM to update, maintain and organize data as well as work in spreadsheets.
  • Manage the IR email inbox to respond to inquiries regarding tax forms, capital account statements, etc.
  • Assist with various administrative tasks and projects as needed.
  • Greet guests and manage meeting logistics, including lunch arrangements for the Head of IR.
  • Manage expenses related to travel, events, or other activities.

Qualifications:

  • 5+ years of experience as an Executive Assistant ideally supporting a finance, legal, Ops, or similar leader and team.
  • Possesses an understanding and knowledge surrounding asset management, investing, IR, and venture.
  • Strong communication skills both verbal and written to interact with high-level stakeholders.
  • Process-oriented mindset. You are excited to optimize processes and create efficiencies.
  • Self-motivated with a strong work ethic. You are reliable and flexible.
  • Someone with great judgment who has the ability to flex up on various workstreams.
  • Strong organization skills and detail-oriented.
  • Someone who deeply cares about their work and holds themselves to a high standard.
  • A bright person who can act as a thought partner when needed.
