Bethany’s Business Development department is comprised of a small team that has a significant impact on Bethany’s ability to serve children and families worldwide. We are looking for a Project Manager and Executive Assistant who is excited to walk alongside our team as we implement creative, planful, and strategic actions to optimize Bethany’s impact.

The Senior Project Manager and Executive Assistant is primarily responsible for tracking progress against milestones, budgetary guidelines, or other performance indicators, and prepares reports to SVP of Business Development and also to the Chief Operations Officer as needed. This individual will also serve as a lead on specific short and long-term projects, as assigned. This position will also manage the schedule, travel and other administrative needs of the SVP of Business Development along with other responsibilities.

The Senior Project Manager and Executive Assistant will coordinate work activities for the Business Development function to ensure deliverables are satisfied, and that operations run efficiently and smoothly for the team. This role is responsible for all aspects of the project lifecycle: planning, scope definition, design, execution, and delivery.

This position is expected to be highly organized, adaptable, and able to prioritize tasks with moderate supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements. The ability to effectively utilize all computer systems and technology within Bethany is critical to the success of this role.

Essential Job Responsibilities

  • Work collaboratively with the SVP of Business Development, the Business Development Directors and Specialists to facilitate high work performance by communicating clearly, and ensuring augmented efficiency and ease of departmental tasks;
  • Maintain all aspects of a project lifecycle: planning, scope definition, design, execution, and delivery;
  • Track progress against milestones, budgetary guidelines, or other performance indicators, and prepares reports to SVP of Business Development
  • Actively participate in funding and department meetings, contract finalization, and development of requirements and specifications;
  • Manage and communicate ongoing changes in tasks, goals, or performance;
  • Track funding dollars spent and allocated for programs;
  • Develop project plans and facilitate resolution of all issues to reach project goals, while also presenting to Branch Director opportunities and outcomes to leadership;
  • Effectively assign resources to projects and project objectives and monitor progress;
  • Perform administrative tasks, related to meeting notes, scheduling, travel, and other document gathering and filing;
  • Ensure up-to-date contracts including coordinating review, approval and signature of contracts;
  • Develop reporting methodologies that meet the tracking and reporting needs of leadership;
  • Run various reports, and draft correspondence and/or transcribe meeting notes, as requested;
  • Represent Bethany, and its core values, in all forms of communication;
  • Assist with technical support such as contacting IT and/or facilitating equipment updates, as well as assist others on the Business Development team in need of technical support.
  • Collaborate effectively across internal respective teams, as needed;
  • Maintain a schedule of appointments, and arrange interviews and meetings, as requested;
  • Complete other duties as assigned.

Qualifications

  • Bachelor's level degree in related field of study from an accredited college;
  • At least three (3) to five (5) years of experience in a similar role;
  • Project Management Certification – PMP, preferred;
  • Excellent written and oral communication skills with excellent interpersonal skills to effectively deal with internal and external contacts in a professional and courteous fashion;
  • Strong attention to detail and an aptitude for problem solving;
  • Must possess strong data system and technology skills;
  • Demonstrated full life cycle project management skills;
  • Must possess an ability to build collaborative relationships;
  • Must possess an ability to identify and seek needed information with strong research skills;
  • Demonstrate a collaborative work style and be a team-player;
  • Must possess strong multi-tasking and be highly organized;
  • Ability to exercise a high level of confidentiality;
  • Must be reliable with time sensitive deadlines and tasks;
  • Working knowledge of office practices;
  • Computer skills sufficient to perform essential functions including knowledge of Microsoft Office suite;
  • Must be 21 years old with a valid driver’s license with at least 3 years driving experience in the U.S. to operate a vehicle on behalf of Bethany. Must also pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate insurance coverage;
  • Pass a criminal history screen, including state and local child protection agency registries;
  • Subscription to and integration of the agency Statement of Faith and Mission Statement.
