We are seeking a reliable and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide administrative support to ensure efficient operation of the office. This role involves a variety of tasks, including managing calendars, scheduling meetings, handling correspondence, and organizing files. The ideal candidate is proactive, adaptable, and able to multitask effectively in a fast-paced environment.

Key Responsibilities

  • Calendar Management:
    • Schedule and coordinate appointments, meetings, and events for executives and team members.
    • Manage and update calendars to ensure accuracy and avoid scheduling conflicts.
    • Remind executives and team members of upcoming appointments and deadlines.
  • Correspondence and Communication:
    • Screen and route incoming calls, emails, and other correspondence.
    • Draft, edit, and proofread documents, letters, memos, and reports as needed.
    • Respond to inquiries from clients, customers, and other stakeholders in a timely and professional manner.
  • Office Management:
    • Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies.
    • Ensure office equipment is properly maintained and serviced.
    • Coordinate with building management and vendors for office maintenance and repairs.
  • Document Management:
    • Organize and maintain paper and electronic files, records, and documents.
    • Create and update filing systems to facilitate efficient document retrieval.
    • Scan, copy, and file documents as needed.
  • Meeting and Event Coordination:
    • Arrange and coordinate meetings, conferences, and special events.
    • Prepare meeting agendas, materials, and presentations.
    • Record and distribute meeting minutes as requested.
  • Travel Arrangements:
    • Make travel arrangements, including booking flights, hotels, and transportation.
    • Prepare travel itineraries and ensure travel documents are up to date.
    • Reconcile travel expenses and prepare expense reports.
  • Administrative Support:
    • Provide general administrative support to executives and team members as needed.
    • Assist with special projects, research, and data analysis.
    • Handle confidential and sensitive information with discretion
    • Assist the HRBP with new hire onboarding, employee engagement, and training and development.
To qualify for this role you must meet the following:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Proven experience as an administrative assistant or in a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
