We are seeking a reliable and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide administrative support to ensure efficient operation of the office. This role involves a variety of tasks, including managing calendars, scheduling meetings, handling correspondence, and organizing files. - Calendar Management:
- Schedule and coordinate appointments, meetings, and events for executives and team members.
- Manage and update calendars to ensure accuracy and avoid scheduling conflicts.
- Remind executives and team members of upcoming appointments and deadlines.
- Correspondence and Communication:
- Screen and route incoming calls, emails, and other correspondence.
- Draft, edit, and proofread documents, letters, memos, and reports as needed.
- Respond to inquiries from clients, customers, and other stakeholders in a timely and professional manner.
- Office Management:
- Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies.
- Ensure office equipment is properly maintained and serviced.
- Coordinate with building management and vendors for office maintenance and repairs.
- Document Management:
- Organize and maintain paper and electronic files, records, and documents.
- Create and update filing systems to facilitate efficient document retrieval.
- Scan, copy, and file documents as needed.
- Meeting and Event Coordination:
- Arrange and coordinate meetings, conferences, and special events.
- Prepare meeting agendas, materials, and presentations.
- Record and distribute meeting minutes as requested.
- Travel Arrangements:
- Make travel arrangements, including booking flights, hotels, and transportation.
- Prepare travel itineraries and ensure travel documents are up to date.
- Reconcile travel expenses and prepare expense reports.
- Administrative Support:
- Provide general administrative support to executives and team members as needed.
- Assist with special projects, research, and data analysis.
- Handle confidential and sensitive information with discretion
- Assist the HRBP with new hire onboarding, employee engagement, and training and development.
- High school diploma or equivalent; associate or bachelor's degree preferred.
- Proven experience as an administrative assistant or in a similar role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to prioritize tasks and work independently with minimal supervision.
