One Federal Solution is seeking a Travel Planner to independently provide administrative support services under a task order for the National Institute on Deafness and Other Communications Disorders, Division of Extramural Activities. The primary objective of this role is to provide comprehensive administrative support, including travel planning and execution within NIH travel systems (GCE).

Responsibilities:

Coordinate the preparation of travel requests, professional service orders, sponsored travel forms (Form 348), outside activities (Form 520), official duty memoranda, leave authorizations, training requests, and various other documents.

Provide administrative support in processing travel vouchers, authorizations, and conference registrations in POTS. Manage travel arrangements, including coordination with travel services like Omega and preparation of SharePoint conference requests.

Serve as a point of contact for administrative, budget, and property management inquiries. Maintain and update Standard Operating Procedures (SOPs), guidance documents, and other related instructions for the organization.

Assist in program workflow by coordinating with staff and providing procedural guidance on Federal guidelines and policies.

Plan and organize meetings, including booking rooms, arranging audiovisual setups, and preparing and distributing agendas and materials.

Provide administrative support during NIH Extramural-related meetings, workshops, and working groups, including minute taking and follow-up communication with participants.

Develop, maintain, and update databases and spreadsheets for tracking personnel, budget, travel, and project activities.

Create analytical summaries and reports based on data; manage office inventories and property management records.

Assist management with special projects, including drafting letters, reports, presentations, and handling ad hoc tasks as required. Coordinate with other departments on project-related needs and document all work products and deliverables.

Qualifications:

Bachelor's Degree required.

Experience in travel planning and execution within NIH travel systems, specifically Concur (CGE).

Proficient written and oral communication skills.

Knowledge of Federal Travel Regulations.

Strong organizational skills with the ability to coordinate meetings and accurately document information.
