Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support our Tax Department. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of the department and providing top-notch administrative support to our tax professionals.

Experience Requirements

3+ years of experience as an Administrative Assistant, preferably in an office environment.

Key Responsibilities

  • Provide comprehensive administrative support to the Tax Department, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare, edit, and maintain tax-related documents, reports, and presentations. Ensure all documents are filed and organized appropriately.
  • Serve as a point of contact for clients, handling inquiries and directing them to the appropriate tax professionals. Maintain a high level of professionalism in all client interactions.
  • Assist in the coordination and execution of tax projects, ensuring deadlines are met and deliverables are completed accurately.
  • Prepare agendas, take meeting minutes, and follow up on action items. Ensure all necessary materials are available for meetings.
  • Input and analyze data related to tax filings and client accounts. Generate reports as needed.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Oversee office supplies and equipment for the Tax Department. Ensure the office environment is organized and efficient.
  • Other tasks as assigned by their supervisor.

Education Requirements

  • High school diploma, GED, or equivalent (Required)
  • Bachelor’s degree in business administration, accounting, or a related field (Preferred).

Skills And Qualifications

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • Familiarity with tax terminology and processes is a plus.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Ability to lift and carry office supplies and equipment up to 20 pounds.
  • Manual dexterity required for operating office equipment (e.g., computers, printers).
