Executive Assistant to General Council

The Adrian Dominican Sisters are seeking an Executive Assistant to the General Council for our Motherhouse campus in Adrian, MI who will assist the General Councilors in fulfilling their leadership role by providing confidential, high level, administrative support related to their areas of responsibility.

Pay and Hours: 32 hours per week, 26.00 - 28.50/hr. based on experience.

Responsibilities

  • Oversee the day-to-day activities of the office; develop policies, procedures, and systems, manage and maintain the shared electronic file folders in the department hard drives.
  • Perform daily administrative office management tasks to include ordering of supplies for the offices and break room.
  • Maintain and manage the calendars of the General Councilors to coordinate activities, scheduling of meetings, conference calls and travel.
  • Provide executive administrative support to the General Councilors in problem solving, project planning and management, and development and execution of stated goals and objectives.
  • Perform research and analysis on specific issues, as required, and independently prepare reports and/or non-routine letters, which may be of a highly sensitive and confidential nature.
  • Serve as primary point of direct administrative contact and liaison with other offices, individuals and sponsored institutions on a range of specified issues; organize meetings, conferences, and other special events as required.
  • Serve as point of contact to control information flow coming into and going out of the Council offices; evaluates and prioritizes requests for contact with the General Councilors from local, congregational, and national sources.
  • Oversee and administer financial activities of the General Council: research, plan and prepare fiscal budgets monitor and reconcile monthly expenses which include credit cards, budget reports, and petty cash account.
  • Oversee and administer all financial tracking and reporting for Literacy Centers, Ministry Trust and Donation requests.
  • Oversee all preparation for Committee/Board meetings, including all the travel and accommodation needs and record minutes.
  • Lend administrative support to Committee/Board Members, Congregational Members and other staff.
  • Oversee and coordinate travel arrangements (including international), meeting registrations, flight and hotel reservations, ground transportation, maps and dining arrangements. Create the travel itineraries.
  • Design and create PowerPoint Presentations associated with the various departments/institutions/committees that report to the General Council as requested.
  • Perform other duties as assigned which further the ministry of the Adrian Dominican Sisters.

Qualifications

Education: A bachelor's degree in business administration or equivalent.

Experience: Administrative experience, with emphasis on the executive level of office management. At least 5 years of office support activity including the use of the skills and abilities listed below.

Knowledge, Skills, and Abilities: Must be organized and flexible, able to re-arrange priorities. Must maintain a high level of confidentiality. Must possess excellent written and oral communication skills. Exceptional attention to detail and organizational skills. Utilizes relational and technical skills to handle multiple assignments simultaneously and demonstrates ability to effectively prioritize work assignments under time constraints. Has advanced knowledge of computer software programs including Microsoft Excel, Word, PowerPoint, Outlook, SharePoint, Google Drive and special programs utilized in personal digital assistance devices.

Physical: Must have sufficient hearing and sight skills to perform all aspects of the position. Must be able to stoop, bend, reach and carry approximately 35 pounds. Must be able to sit, stand, walk distances and move up to 8-hours per day. Annual influenza vaccination is required for this position.
