Executive Assistant to Co-Founder at a REIT Firm
Position Overview: We are seeking an experienced Executive Personal Assistant to provide high-level administrative support to one of our Co-Founders at a leading Real Estate Investment Trust (REIT) firm. This position requires exceptional organizational skills, discretion, and the ability to handle a wide range of administrative and executive support tasks. The ideal candidate will thrive in a fast-paced environment, possess strong communication skills, and have a proactive approach to problem-solving
Responsibilities:
- Manage and maintain the Co-Founder's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as the primary point of contact between the Co-Founder and internal/external stakeholders, demonstrating professionalism and discretion at all times.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Co-Founder.
- Conduct research and compile data to support the Co-Founder's strategic initiatives and projects.
- Coordinate and prioritize incoming requests and action items, ensuring timely responses and follow-up.
- Assist in preparing for meetings, including agenda development, materials preparation, and logistical coordination.
- Handle confidential and sensitive information with integrity and discretion.
- Anticipate needs and proactively address issues to streamline the Co-Founder's workflow and optimize their productivity.
- Collaborate effectively with other executive assistants and team members to support company-wide initiatives and projects.
Qualifications:
- Bachelor's degree preferred, with a minimum of 5+ years of experience as an Executive Assistant supporting C-suite executives or senior management in a corporate environment, preferably within the real estate or financial services industry.
- Proven ability to manage multiple priorities and projects while maintaining a high level of attention to detail.
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with calendar management tools (e.g., Microsoft Teams, Google Calendar).
- Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Demonstrated ability to exercise good judgment and maintain confidentiality in handling sensitive information.
- Resourceful problem-solving skills and the ability to work independently with minimal supervision.
- Flexibility to adjust work hours and availability as needed to accommodate the Co-Founder's schedule and urgent matters.
Compensation:
- Base salary range: $150,000 - $200,000 annually, commensurate with experience.
- Performance-based bonus structure.
