As a multi-discipline firm, Isett provides a full range of engineering and consulting services, including civil, structural, mechanical, electrical, plumbing, environmental, geotechnical, and municipal engineering, surveying, landscape architecture, code enforcement, plan review, construction management, construction materials testing, and grant writing services to clients throughout the Mid-Atlantic region.

We have an opportunity for an entry level, detail-oriented individual with excellent organizational and communication skills to perform various administrative tasks (such as reception, data entry, and scheduling) primarily for our Code Services team in our Lehigh Valley office in Allentown, PA.

Responsibilities

  • Data entry of proposals and new projects
  • Assist with client and monthly invoicing, payment reconciliation and other accounting related functions
  • Assist with checking incoming permit applications and plans for completeness
  • Format and prepare various forms and letters, such as Notice of Violation, Rental Inspection Reports, Code Review Memos, and Certificates of Occupancy
  • Collate and insert revised plans into existing plan sets and stamp for approval for PA UCC Code Compliance
  • Stamp plan sets for approval and prepare approval packages for return to municipalities
  • Complete supporting documents for the plan review/permit approval process
  • Assist Operations Managers and other plan reviewers in delegating/delivering/and monitoring status of plan review assignments
  • Copy and/or scan approved permit sets and upload to the permit tracking system
  • Generate invoices and enter checks/payments in system(s)
  • Assist with shuttling cars to service appointments
  • Greet clients at Code reception area and answer phones and schedule inspections, as needed
  • Prepare outgoing mail and FedEx packages, as needed
  • Pick-up and/or deliver items from/to local municipalities, as needed

Requirements

  • H.S. Diploma
  • Experience with invoicing and accepting payments preferred
  • Intermediate to advanced Microsoft Office skills (Word, Excel)
  • Adobe Acrobat, Bluebeam, and MS Publisher experience (a plus)
  • Proven editing and proof-reading skills
  • Excellent oral and written communication skills
  • Knowledge of office equipment functions and capabilities
  • Ability to prioritize tasks and respond to the needs of several people in a timely fashion
  • Valid driver’s license - to make local deliveries
  • Ability to sit for extended periods of time and carry up to 35 pounds (i.e., rolled plans).
