Serve as the Administrative Assistant to the Chief Development and Engagement Officer. The individual fulfilling this role must be able to handle numerous situations and personalities in a professional and extremely courteous manner. The individual fulfilling this role must also be highly organized, able to provide information management support, and able to positively represent the Chief Development and Engagement Officer and Northwood University.

Responsibilities

  • Needs excellent organizational and communication skills.
  • Augments executive’s time by initiating administrative work, drafting letters and documents, collecting and analyzing information, arranging schedules, and providing ad hoc general support.
  • Must be a self-starter who can consistently follow through with people and projects.
  • Must be a good listener and speaker to apprise the Chief Development and Engagement Officer of directives, requests, and issues brought to the Administrative Assistant’s attention and know whom to contact to resolve problems.
  • Manages mail and deliveries, schedules appointments, maintains daily/yearly calendar, makes travel arrangements, coordinates department meetings, and establishes and maintains digital files.
  • Responds to routine and non-routine inquiries; proof and make change recommendations on printed documents.
  • Acts as a central resource for department administrative needs, including procuring office supplies, managing electronic approval process, handling accounts payable, submitting credit card statements, and coordinating onboarding of new employees.
  • Administers special projects related to the Chief Development and Engagement Officer’s portfolio, such as campaign coordination and support of the Flags, Freedom, and Free Enterprise program.
  • Collects and prepares information as needed.

Qualifications

  • Be proficient in Microsoft Office and use of technology.
  • Competently work with database management programs and electronic filing systems.
  • Possess experience in time management, writing, scheduling, and office management.
  • Work evening and weekend hours as necessary.
  • Coordinate, research and secure travel for the executive and others related to the work of the executive.
  • Understand and support “The Northwood Idea” and Northwood University’s mission.

Expectations

  • Maintain donor confidence and protect operations by keeping information secure.
  • Be available during regular office hours to act as a consistent resource for external and internal audiences.
  • Listen and professionally react to various internal and external situations.
  • Relieve the Chief Development and Engagement Officer of clerical work and administrative details.
  • Monitor the campaign and advancement budgets to maintain the balance of finances.
  • Communicate to all staff, officer groups, and volunteer leadership regularly and professionally.
  • Proactively undertake work assignments that naturally evolve from work duties.
  • Work cooperatively with colleagues and support other Northwood University executives as necessary.
