What You’ll Do

  • Collaborate with the support team to orchestrate complex C-level executives scheduling using several tools including Calendly, Outlook and/or specific applications.
  • Provide high-level administrative support for C-level executives while maintaining professionalism and strict confidentiality.
  • Manage very complex scheduling including internal and external meetings both in-person and virtually on behalf of executives
  • Involved with some personal support which also includes scheduling, organizing and/or general tasks.
  • Provide daily reminders to the principal regarding all scheduled meetings.
  • Maintain and update the contact database to ensure all information is current.
  • Occasionally work with travel team to arrange domestic and international travel including; flights, rental cars, hotels, car services (where required), and dining arrangements.
  • Perform administrative tasks including drafting letters, bios, memos, invoices, reports, and other documents for senior staff.
  • Ad hoc projects as assigned.

What We’re Looking For

  • High school diploma required.
  • Bachelor’s degree in business administration or related field preferred.
  • At least five years of related experience in an office environment providing executive and/or administrative support reporting directly to senior management required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and meticulous attention to detail.
  • Extremely Strong Microsoft Outlook, Word, Excel and PowerPoint and some general experience with tools such as Calendly, Asana, SmartSheets, and/or proprietary project management/scheduling applications
  • General technological and video conferencing systems skills (e.g. Zoom).
  • Extensive knowledge of office administration, clerical procedures, and record keeping systems.
  • Able to type minimum of 50 words per minute.
  • Management skills with a proven ability to multitask while meeting deadlines.

The salary range for this position is $150,000 to $200,000 which represents base pay only and does not include short-term or long-term incentive compensation. When determining base pay, as part of a final compensation package, we consider several factors such as location, experience, qualifications, and training.
