Job Summary:

Our partner a local non-profit is seeking an experienced Executive Assistant to provide comprehensive support to the Executive Director and the team. The organization collaborates on strategy, learning, and evaluation initiatives that promote racial equity and social justice. The work involves evaluation projects, consulting with foundations, and supporting field building, with a focus on advancing equity and inclusion in decision-making processes.

This a full-time contract to hire opportunity working remotely on EST for their headquarters in the District of Columbia.

Responsibilities:

  • Manage a complex, group calendar, including scheduling meetings, travel, and events
  • Provide tech-savvy support using platforms like Office 365, Chat-GPT, Asana, HubSpot, Airtable, and Zoom
  • Coordinate logistics for virtual and in-person meetings, including staff meeting setup, facilitation, and minute-taking
  • Prepare, write, and edit presentations, documents, and reports for management
  • Support event management, including logistics coordination and planning
  • Assist with project management tasks, including grant reporting tracking, contract setup, invoicing, and database maintenance
  • Maintain and update communications channels, including social media and website postings
  • Provide board logistical support, preparing agendas, materials, and presentations

Qualifications/Background Profile:

  • 4-6 years of experience in an executive assistant or coordinator role, ideally within a nonprofit
  • Strong intuition and ability to anticipate needs, with high emotional intelligence
  • Independent worker capable of handling remote work with minimal oversight
  • Tech-savvy with proficiency in various online platforms (Office 365, Asana, HubSpot, Slack, Miro, etc.)
  • Familiarity with the small nonprofit environment and ability to juggle multiple tasks
  • Project management skills, especially in grant tracking, contract setup, and expense processing
  • Excellent written and verbal communication skills
  • High school diploma or associate's degree with relevant experience; bachelor's degree preferred
