Executive Administrative Assistant

Reporting directly to the CEO, while also supporting members of the C-Suite, the Executive Administrative Assistant will be responsible for the overall administrative support of the C-Suite with a high level of professionalism and confidentiality. In this high-profile role, the ideal candidate must be able execute the functions of the role in a fast-paced environment while remaining flexible, proactive, resourceful and efficient.
Key responsibilities:
- Organize and manage calendar for the CEO; includes making appointments, resolving conflicting commitments and prioritizing the most sensitive matters
- Coordinate and manage travel including complex itineraries, flights, accommodations, transportation, logistics and last-minute adjustments, as applicable.
- Schedule meetings and special events such as Board Meetings and/or off-site meetings, including coordination and development of materials
- Collect and prepare information used for presentations/meetings for senior leadership and department staff including compiling agendas, presentations and reports. Take detailed meeting minutes and track follow up actions, if requested.
- Manage the CEO’s task list and prioritize workflow to ensure deadlines are met and commitments are honored.
- Handle details of highly confidential and critical information, interact comfortably and skillfully with senior-level executives within and outside the company.
- Manage and reconcile monthly expense reports.
- Provide administrative assistance, such as writing and editing e-mails, drafting memos, and prepare communications on the C-Suite’s behalf
- Answer phones, screen incoming calls, and redirect requests
- Recognize and respond appropriately to a variety of sensitive and/or confidential information and is expected to exercise a high-level of discretion
- Assist with office management duties, including maintaining of supplies, coordinating with vendors, and ensuring smooth operation of the executive office.
Position Requirements:
- High School Diploma required; Bachelor Degree preferred
- 5+ years of relevant experience in a senior/executive-level support in EA / PA role in a mid-to-large sized organization.
- Excellent knowledge of Microsoft Office package (Excel, Word, PowerPoint, Outlook, MS Teams) required.
- Expert organizational, written and verbal communication skills and must be confident in their ability to interact with staff at all levels.
- Demonstrated problem solving skills with an ability to think critically and make decisions in a timely manner.
- Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests.
- Ability to anticipate the needs of the executive team.
- Integrity and discretion in handling confidential information and professionalism in dealing with senior executives.
- Demonstrated excellent communication skills, both written & verbal, self-starter, and proactive.
- Detail-orientated with strong planning, organizational and time-management skills.
- Ability to work well under pressure and occasionally work off hours.
- Flexibility and the ability to change directions quickly.
