Section 1: Overview and Purpose of Position

The Human Resources Assistant is responsible to provide administrative support to the Human Resources Manager and Chief Finance and Administrative Officer. The Human Resources Assistant is critical in ensuring that the department’s day-to-day operations are running smoothly.

Section 2: Qualifications (skills, education, experience)

  • Combination of education and experience normally represented by a Bachelor's Degree in business administration or human resources preferred.
  • Minimum 2 years of HR/administrative experience
  • Minimum 2 years of talent acquisition/recruitment experience
  • Paylocity experience preferred
  • Strong commitment to maintaining confidentiality

Section 3: Responsibilities/Duties

Recruitment Support

  • Post job ads and vacancies on job sites and website
  • Screen resumes and job applications
  • Schedule and coordinate job interviews
  • Assist in background and reference checks

Onboarding

  • Prepare new hire documents for onboarding meetings
  • Completes the I9/E-Verify process
  • Complete background checks for new employees
  • Complete new hire binder preparation
  • Schedule and coordinator new hire training sessions

Record Keeping

  • Maintain accurate and up-to-date employee records
  • Manage Paylocity employee updates (names, addresses, positions, etc.)

Payroll Support

  • Assist in payroll processing
    • Ensure time cards are accurately approved by supervisors
    • Generate payroll registers on a bi-weekly schedule
Administrative Support

  • Coordinate HR projects (meetings, trainings, surveys)
  • Maintain professional development and self care records
  • Provide clerical and administrative support to Human Resources Manager
  • Update career opportunity and staff roster on JVS website monthly

  • Strong organizational and time management skills, with a proven ability to meet deadlines; able to effectively prioritize, delegate, and execute multiple tasks.
  • Ability to be self-directed and highly flexible in daily work.
  • Ability to work effectively in an environment that is multicultural and multilingual.
  • Excellent verbal and written communication skills and the ability to develop positive working relationships with both internal and external collaborators.
  • Strong computer skills and proficiency in Word, Excel, Google Docs and internet-based communication.
  • Must have a valid Missouri or Kansas Driver’s License and a verified safe driving record and reliable means of transportation for local travel. Must provide a copy of license

Section 5: Working Conditions and Physical Effort

  • Occasional travel will be necessary. Use of a personal vehicle is necessary with mileage reimbursement.
  • Much of the work is typically performed in an interior temperature-controlled office work environment. Position requires prolonged periods of sitting at a desk and working on a computer.
  • Some work may be performed at community sites such as other agency offices, schools, libraries, and other public meeting places. Employees may experience exposure to temperature extremes when in training situations, in a car, and while traveling to contacts outside of the agency facility.
  • Position requires frequent bending, squatting, sitting, standing, pulling, pushing, lifting, and moving items that may weigh up to 50 lbs.
  • Use of cell phone is also required with partial reimbursement by agency.
