Position Description

Under direct supervision from the Director of Training, the incumbent performs routine duties such as room scheduling, data entry, typing, filing, answering phones and a variety of other office duties in support of The CAC Training Center.

Duties and Responsibilities:

  • Maintains and monitors training schedules, unique setups, training emails, and updates calendar for training rooms.
  • Answers phones promptly, takes messages, provides information, schedules rooms and refers inquiries to appropriate person.
  • Welcomes visitors professionally by greeting them in person, virtually, or on the phone while answering inquiries and directing them to the scheduled training room.
  • Maintains safe access to the training center by providing clear instructions to all staff and visitors.
  • Prepares rooms with items and materials needed for trainings and meetings.
  • Communicates and coordinates with building staff on room set up and changes.
  • Compiles and records training room usage for monthly reports on Training Center Room usage logs.
  • Monitors scheduling system, room use, and scheduling of hybrid meetings using a virtual platform.
  • Manages staff training logs and assists with registrations, hotel reservations and monthly reports.
  • Prepares and updates rooms with items and materials needed for training and meetings. Makes sure all rooms are back in order at the end of each day and all materials are put away.
  • Provides AV support and virtual support to training team and training center visitors.
  • Performs other duties as assigned.

Requirements

Education and Experience:

  • High School Diploma or higher or G.E.D AND with a minimum of one year of clerical work experience.


Knowledge, Skills, and Abilities:

  • One year knowledge of office methods, procedures and practices.
  • Skilled in the use of standard office software programs such as MS Office Word, Excel, Outlook and virtual platforms.
  • Ability to articulate and comprehend verbal, written and electronic communications. Work cooperatively with diverse population.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Communicate effectively and professionally with strong interpersonal skills.

Preferences

  • Knowledge of training center technology systems (including Bright Author and Evoku), preferred.


General Information

Position Type and Typical Hours of Work:

  • Full Time position
  • Monday-Friday | 8:00 am – 5:00 pm and willing to perform additional hours as deemed necessary by the Training Department.
  • 40 Hours per week


Work Environment and Physical Demands:

  • This role routinely uses standard office equipment, such as computers, phones, photocopiers, filing cabinets and fax machines.
  • This position is generally in a light work role but may at times require the ability to lift files up to 20 pounds.


Employment is contingent upon passing a background check and drug screen.
