Job Description: Personal Assistant

Location United States ( Remote)

Position Overview: We are looking for a highly organized, proactive, and reliable Personal Assistant to provide comprehensive support to an executive or senior management team member. The ideal candidate will handle a wide range of administrative tasks, manage schedules, and ensure the smooth running of daily operations. A successful Personal Assistant will be detail-oriented, adaptable, and able to maintain confidentiality while juggling multiple priorities.

Key Responsibilities:

Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

Act as the point of contact between the executive and internal/external stakeholders, handling correspondence, phone calls, and emails.

Prepare and edit documents, reports, and presentations as needed.

Coordinate and assist with personal errands, reservations, and other day-to-day activities.

Organize and prioritize incoming information, requests, and follow-up tasks.

Conduct research and compile information for meetings, presentations, and decision-making.

Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.

Attend meetings, take detailed minutes, and assist in the preparation of agendas and follow-up actions.

Handle confidential information with discretion and professionalism.

Assist in managing projects, tracking deadlines, and ensuring timely completion of tasks.

Perform general office duties such as filing, invoicing, expense tracking, and maintaining office supplies.

Requirements:

Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.

Excellent organizational skills and the ability to manage multiple priorities.

Strong verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.

Ability to handle sensitive information with discretion and maintain confidentiality.

Strong problem-solving skills and attention to detail.

Flexibility and adaptability to changing priorities and demands.

Ability to work independently with minimal supervision and maintain a proactive approach.

Strong time management skills and the ability to meet tight deadlines.

Preferred Qualifications:

Previous experience supporting C-level executives or senior management.

Familiarity with project management tools and software.
