Job Description

Texan Land and Cattle Company is seeking a highly organized and proactive administrative assistant. The administrative assistant will work closely with the President and other administrative assistant of the company to ensure communication is streamlined and administrative tasks are completed effectively and timely.

Job Description:

  • Assist in the execution of work responsibilities to achieve company goals and improve operational efficiency.
  • Greet visitors, manage phone calls, handle mail and shipments, respond to emails, create correspondence and prepare reports
  • Coordinate and schedule meetings and appointments.
  • Negotiate and manage the purchase of office supplies and services, ensuring cost-effectiveness and adherence to budgetary constraints.
  • Serve as liaison to the Board of Trustees for multiple charitable foundations, preparing meeting agendas, recording minutes, and managing related correspondence, meeting binders and communications.
  • Assist in preparing correspondence and legal documentation, and liaising with lawyers, accountants, etc.
  • Provide operational support for marina operation, including accounts receivable & payable, maintenance contracts, employee management and payroll.

Qualifications:

  • 10 years of administrative assistant experience required.
  • 5 years of proficient QuickBooks working knowledge required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and other relevant software.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent communication and interpersonal skills with a customer service focus.
  • Ability to multitask, prioritize, and manage time effectively.
  • Exceptional attention to detail, ability to work independently and “follow up” until tasks are completed.
