Study Hotels is seeking a dedicated and detail-oriented Administrative / Office Assistant to provide essential support to our company's Principal. This is a fantastic opportunity to join our team and contribute to our mission of delivering exceptional service and experiences to our guests. The role is based at our vibrant New York corporate office located in the NoMad neighborhood.

Responsibilities:

  • Offer comprehensive administrative support to the Principal, including managing schedules, coordinating travel arrangements, handling correspondence, maintaining contact lists, preparing expense reports, and participating in various meetings
  • Create and format a wide range of documents, including letters, memos, meeting minutes, presentations, and reports
  • Fulfill internal requests such as printing, coordinating with vendors, managing mail, ordering office supplies, running errands, and addressing day-to-day inquiries
  • Aid in research and information gathering related to our hotel properties and upcoming projects
  • Occasionally travel to Study Hotel properties to organize team meetings and agendas, ensure the presence of key stakeholders, coordinate presentation materials, and follow up on action items
  • Coordinate tasks and information flow with other Hospitality 3/ Study Hotels personnel as needed

Qualifications:

  • A Bachelor's degree is preferred. At least 2 years of experience providing administrative support in a professional office setting
  • Comfortable working independently in a small office environment
  • Exceptional written and verbal communication skills and strong organizational abilities
  • Experience handling confidential and sensitive materials with discretion
  • Advanced proficiency in Microsoft Suite (Word, Excel, PowerPoint)
  • Strong organizational skills, including multitasking and time management in a fast-paced setting
  • Ability to effectively communicate and interact with all departments, external vendors, and guests
  • Availability to address important and urgent matters, occasionally after hours
  • Office hours are Monday through Friday from 8:30 am to 5:30 pm. This is an in-office support position and is not available for remote work
