Job Title: Temporary Executive Assistant to CEO

Location: Hybrid NYC (Corporate Office: 250 Vesey Street)
Schedule: Hybrid, in-office Tuesday and Wednesday, remote the remaining days
Duration: Temporary (approximately 2 months, starting 12/2/2024)

Position Summary:

We are seeking a highly experienced Temporary Executive Assistant to support the CEO of a national, 1,700-person non-profit organization. This is a temporary role, covering a leave for approximately two months, with an ideal start date of December 2, 2024.

The Executive Assistant will be responsible for providing high-level administrative support, ensuring smooth day-to-day operations within the Office of the CEO. The successful candidate must have a minimum of 7 years of recent experience supporting C-level executives, demonstrating excellent scheduling, communication, and organizational skills.

You will be joining a dynamic and fast-paced team that values precision, reliability, and professionalism. This position requires someone who is proactive, detail-oriented, and capable of anticipating the needs of a busy executive while managing sensitive information with discretion.

Key Responsibilities:

  • Calendar Management (50%):
    • Manage all aspects of the CEO s calendar, including scheduling meetings, resolving conflicts, and ensuring alignment with the CEO s preferences.
    • Coordinate complex schedules with multiple stakeholders, including other executive assistants and team members.
    • Prepare daily calendar briefs for the CEO, focusing on meeting locations, participants, and travel details.
  • Travel and Expense Management (20%):
    • Arrange and oversee all aspects of the CEO s travel, including flights, accommodations, ground transportation, and itineraries.
    • Maintain vigilant oversight of travel logistics, ensuring timely updates to any changes.
    • Prepare and submit detailed expense reports for the CEO and Deputy Chief of Staff.
  • Personal Support (10%):
    • Provide personal and family-related support as needed, including coordinating personal travel and home-related events for the CEO.
  • Technology Support (10%):
    • Ensure all virtual meetings are set up, and assist with daily tech operations.
    • Liaise with IT teams to resolve any technical issues related to the CEO s devices and meetings.
  • Miscellaneous Support (10%):
    • Assist with special projects, including research, event support, and supply management.
    • Maintain confidentiality when handling sensitive information and foster strong relationships across the organization.

Required Qualifications:

  • Education:
    • High School Diploma or equivalent required. Bachelor s degree preferred.
  • Experience:
    • Minimum of 7 years of recent executive assistant experience supporting C-level executives.
    • Proven track record of managing complex calendars and scheduling across time zones.
    • Strong organizational and problem-solving skills, with a keen ability to anticipate needs.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Experience with travel and expense management systems (e.g., Concur).
    • Comfortable with virtual meeting platforms and basic troubleshooting.
  • Other Skills:
    • Exceptional communication skills, both written and verbal.
    • Ability to remain calm and organized under pressure, demonstrating flexibility in fast-paced environments.
    • Discretion and professionalism when handling confidential information.
