Position Summary

Remote, Full-time, Monday - Friday (9:00 am - 5:30 pm CT, with some flexibility, but start time will not be any earlier than 8:30 am CT.)

The Evaluations Coordinator (EC) position is responsible for building and maintaining strategic and operational relationships to understand client needs that meet and/or exceed expectations. This includes serving as a primary contact for existing clients and specialists, directing and managing client and specialist issues, managing the day to day: intake of fitness for duty evaluations, independent medical examinations, and pre-employment psychological screening referrals, coordination of appointments in office or virtually, preparing all necessary documents for appointments, coordinating any additional appointment accommodations, and follow up of evaluation cases through completion. This position works closely with the Evaluations Manager to manage evaluation caseloads. This includes ensuring all referrals complete intake in a timely manner, obtaining necessary information from clients, and meeting client service level agreements for referral acceptance, scheduling appointments and report turnaround times.

Essential Functions

  • Ensure all fitness for duty evaluation, independent medical examination, and pre-employment psychological screening referrals complete intake in an accurate and timely manner
  • Serve as primary contact for clients and specialists in coordinating and scheduling appointments, keeping them updated on the status of cases, identifying potential issues with referrals and actively working to resolve issues
  • Identify and obtain any missing and/or additional necessary documentation from clients to complete a referral
  • Provide cost estimate to client based on research of current client contract or need to draft a letter of agreement and send a pre-payment link, as well as specialist contracted rate to maintain specified margin
  • Triage to best qualified specialist(s) that meet the referral need, specific client requirements and rate margin(s) in a timely manner
  • Coordinate, triage and schedule in office or virtual appointments within specified timeframe
  • Organize and prepare medical records per R3 staging protocols on incoming referrals
  • Administrative tasks, including documenting case notes in real time, all case preparation, creating and sending appointment confirmation letters, drafting and sending authorizations, consent forms, letter of agreements, and/or pre-payment links, etc.
  • Coordinate telehealth evaluations, including setting up video sessions, basic troubleshooting of video conference issues, obtaining electronic signatures on necessary documents, and facilitating test administration and scoring
  • Identify, monitor, and confirm specialist has completed necessary training(s) prior to scheduled appointment
  • Manage and document daily follow-up tasks (clients & specialists) through completion of referral
  • Monitor and reply out of service/team email inbox
  • Meet client needs and address questions and/or complaints with independent, proactive problem solving
  • Correspond (written and verbal) with attorneys, individuals, clients, specialists, internal staff, vendors, etc.
  • Identify and communicate specialty recruitment needs
  • Handle referral inquiries from intake to completion and document missed opportunities
  • Maintain satisfactory turnaround times on referrals, including scheduling and appointment date, and submission of final report(s)
  • Identify and communicate specialist training needs
  • Other duties as assigned

Other Essential Functions

  • Participate in department and company meetings, as requested
  • Work with other departments to ensure client and specialist needs are met (i.e., communication with Accounting, Clinical, Credentialing, IT, Operations, Quality Assurance, Recruiting, Sales, etc.)
  • Ability to communicate client specific needs and work those into the R3 process
  • Perform other duties as assigned
  • Overtime/Additional Hours – There are times in which overtime/additional hours will be mandatory due to an increase in work and the need to meet turnaround time frames

Education & Licensing

  • Bachelor’s degree, preferred

Experience

  • 1-2 years of experience working in mental health or related field, preferred
  • 1-2 years of experience conducting triage telephonically, preferred
  • 1-2- years of experience working with insurance claims and medical records, preferred
  • 1-2 years of experience interfacing with customers, patients and providers, preferred

Physical Work Requirements

Work is generally sedentary in nature buy my require standing and walking up to 10% of the time. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed in an office environment, with standard office equipment available.
