Role Description

This is a part-time hybrid role as an Administrative Assistant that will play a crucial role in supporting the day-to-day operations of the business and its clients. The role involves providing administrative support, managing communications, and assisting with executive administrative tasks. The position allows for some remote work.

Key Responsibilities

  • Administrative Support: Assist with the preparation and distribution of meeting materials; Take minutes during meetings and maintain accurate records; Manage office supplies and ensure the smooth operation of the office; Clerical Skills for effective office management; Administrative Assistance and Executive Administrative Assistance skills; Strong Phone Etiquette and Communication abilities
  • Event Coordination: Assist in planning and executing of events, including conferences, workshops, and webinars; Coordinate logistics such as venue selection, catering, and technology setup; Promote events through email campaigns and social media
  • Communication and Outreach: Maintain the websites and social media accounts; Prepare newsletters and other communications; Serve as a point of contact for external inquiries
  • Financial Administration: Assist in budgeting and financial reporting; Process invoices, payments, and reimbursements

Qualifications:

  • Bachelor’s degree in Business Administration or a related field
  • Proven experience in administrative roles
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Attention to detail and organizational skills
  • Proficiency in Google Suite and Wix websites
  • Project management skills, including the ability to develop new systems and processes
  • Ability to work collaboratively in a team environment and independently

Preferred Skills:

  • Expertise with hospitality, marketing, and branding
  • Familiarity with event planning and coordination
  • Experience in financial management or bookkeeping
