We are currently looking for an Executive Assistant to provide high-level administrative and personal support to the senior leadership team of a Family Office based on Long Island, NYC. This role requires a proactive individual with strong organizational skills, capable of managing multiple projects while maintaining smooth day-to-day operations. The ideal candidate thrives in fast-paced environments, excels at juggling various responsibilities, and enjoys collaborating with senior leaders.

Requirements:

  • 3+ years of experience in an executive support role, ideally supporting senior leaders
  • Strong proficiency in Microsoft Office, including Excel and PowerPoint
  • Highly organized with excellent communication skills, both written and verbal
  • Comfortable with Google Drive and adept at managing data
  • Ability to drive for business tasks and travel domestically or internationally with short notice (within 2 weeks)
  • Candidates with start-up experience will be prioritized

Responsibilities:

  • Provide direct support to senior executives, managing their schedules, travel arrangements, and meeting logistics
  • Assist with both personal and business tasks, including booking hotels, restaurants, and appointments
  • Oversee property portfolios by tracking rent, expenses, vacancies, and monthly P&Ls
  • Manage vendor relationships and coordinate home/office maintenance projects
  • Develop emails, presentations, executive briefings, and other materials
  • Organize and maintain files across Google Drive, digital platforms, and physical
  • documents
  • Collect, synthesize, and report on meeting outcomes and new initiatives relevant to the
  • family office
  • Handle credit card management, banking, and dispute resolution
  • Monitor and coordinate expenses related to both business and personal matters
  • Coordinate meetings and key projects with the executive team, ensuring seamless
  • follow-up
  • Work closely with multiple executives and leadership to streamline workflows and drive
  • new initiatives

Schedule: Monday – Friday, 9 AM – 6 PM EST with the expectation to be available for text 7 days per week*

Compensation: Up to $120K BOE, medical stipend, PTO (this will start as a 1099 position*)

Location: You will be working out of the Family’s home office in Hewlett, New York
