You will be entrusted with the management of sensitive information and act as a vital intermediary between executives and key stakeholders.

Key Responsibilities

  • Schedule and Calendar Management: Efficiently coordinate appointments, meetings, conferences, and travel arrangements to optimize time management and task prioritization.
  • Information Management: Organize and secure files and confidential information for easy retrieval. Conduct research, compile data, and prepare reports or presentations as necessary. Maintain and update the client's CRM system.
  • Project Coordination: Oversee ongoing projects, ensuring deadlines are met and progress is tracked, collaborating with team members to gather essential information for seamless project execution.
  • Relationship Management: Cultivate and sustain positive relationships with clients, partners, and colleagues. Coordinate meetings, prepare agendas, and document minutes as required.
  • Travel and Logistics Coordination: Arrange comprehensive travel logistics, including flights, accommodations, and transportation, ensuring smooth transitions for business trips. Provide detailed itineraries and relevant travel information.
  • Financial Administration: Assist in managing financial responsibilities such as tracking expenses, processing invoices, and monitoring budgets, liaising with the finance department and external vendors as needed.
  • Meeting Support: Prepare materials, agendas, and presentations for meetings. Attend meetings, take notes, and follow up on action items to ensure effective communication and documentation.
  • Task Delegation: Identify tasks suitable for delegation to team members or external resources, coordinating and monitoring their completion to ensure timely and accurate execution.
  • Miscellaneous Support: Offer general administrative support, including drafting and proofreading documents, along with various ad hoc tasks as required.

Required Skills

  • 3-5 years of experience as an Executive Assistant
  • Proficient in CRM management
  • Exceptional organizational and time management capabilities, with a focus on effective prioritization
  • Strong written and verbal communication skills with a professional demeanor
  • Competency in utilizing virtual communication tools, project management software, and other relevant applications
  • Ability to handle sensitive information with discretion and confidentiality
  • Keen attention to detail and adept problem-solving skills
  • Proactive, self-motivated, and capable of working independently while adhering to deadlines
