Responsibilities

The Office of the Registrar is seeking applications for the Assistant Registrar for NCAA Certification and Eligibility. This position is responsible to the Associate Registrar for Records and is responsible for managing the NCAA student-athlete certification process for East Tennessee State University. This requires the successful completion of a variety of duties and responsibilities, including but not limited to:

  • Initial continuing eligibility and transfer certification; determine eligibility of prospective and continuing student-athletes which includes but is not limited to reviewing transcripts, credits, majors, and all academic records for incoming and returning students, and completing the transfer evaluation forms for transfers in accordance with NCAA rules.
  • Advising the Athletics Department if a student-athlete is academically eligible or ineligible. If a student-athlete is ineligible, determine deficiencies in both NCAA degree progress rules; help advise on a path forward to eligibility regarding courses needed to become eligible on a semester-by-semester plan.
  • Collaborating with the Admissions Department, the Athletics Academics and Compliance Department, and other colleges related to catalog requirements for progress towards graduation and any substitutions for courses as applicable.
  • Monitoring enrollment status changes throughout the semester (drop/add) and keeping the Athletics Academics department updated, accordingly.
  • Maintaining compliance with NCAA and conference certification rules by assisting athletics with the processing of waivers.
  • Updating change of major/minor/concentration status to student records in a timely manner and maintaining all student-athlete eligibility documentation.
  • Running degree audits and working with the student-athlete advisor on NCAA certification issues.
  • Assisting with APR and GSR data collection.

The ETSU is located in Johnson City, Tennessee, in the beautiful Appalachian Highlands region. The area is characterized by small towns, rich artistic traditions, and lots of outdoor experiences. Asheville is less than an hour's drive; Knoxville is just 90 minutes.

Knowledge, Skills And Abilities

  • Thorough knowledge of NCAA Bylaw 14 in the NCAA manual.
  • Knowledge of NCAA computer programs such as NCAA CA 2.0, Eligibility Center and ARMS.
  • Knowledge of NCAA Progress Towards Degree bylaws and academic eligibility bylaws. Ability to properly calculate, by hand, students' GPAs. Ability to use Banner, Degree Works, and athletics compliance software systems (NCAA CAi, ARMS).
  • Ability to learn institutional processes regarding degree progress, calculation of GPA, and transfer of credits.
  • Ability to work collaboratively with campus constituents.
  • Ability to learn and research changes to both NCAA legislation and degree requirements for various majors.
  • Ability to work in a fast-paced environment with limited supervision.
  • Ability to pay close attention to detail.

Required Qualifications

  • Bachelor's degree
  • Familiarity with NCAA rules and regulations
  • 1-2 years in Athletics Compliance, University Records and/or Registrar

Preferred Qualifications

  • Master's Degree
  • Experience in Records and Registrar's Office or similar higher education experience
  • One year of experience conducting athletic certification at a National Collegiate Athletic Association (NCAA) Division I level
  • Demonstrated knowledge of NCAA rules and compliance issues concerning the administration of intercollegiate athletics
  • Demonstrated knowledge of institution's academic policies, procedures, and curriculum
