Position Summary

HIAS seeks a Culture & Communications Manager to coordinate employee feedback mechanisms, the response to feedback received, and the communication of actions and steps taken. This role will also support internal communications tools and platforms such as newsletters, staff meetings, staff learning sessions, staff calendar, and our employee intranet system. Depending on the background and skills of the candidate, this role may flex towards strength and past professional experience, including graphic design, change management communications, and/or event support and training.

After a period of onboarding the role-holder will provide Maternity Leave cover for some of the tasks of the Director, Culture & Communications.

Note, the salary range for this position is $75,000.00-85,000.00.

Essential Functions

EMPLOYEE FEEDBACK MECHANISMS

  • Coordinates roll-out of staff feedback mechanisms, for example information and feedback forums, staff question inboxes and, as budget allows, a global feedback platform.
  • Ensures survey feedback is collated and shared with staff and leadership.
  • Facilitates action planning as a result of staff feedback, ensuring that action points are taken forward by relevant owners and communicated out to staff.
  • Performs other duties as assigned.

WRITTEN STAFF COMMUNICATIONS

  • Compiles and produces the trilingual biweekly global newsletter and weekly global staff update.
  • Together with the Director, Culture & Communications, reviews and revises internal mass emails including those from executive leadership, as well as other departments around the organization.
  • Supports with revision and editing of written how-to guides and manuals, as needed.
  • Assists with review of and preparation for internal meetings and presentations, as needed.
  • Compiles talking points for internal leadership, as needed.
  • Ensures that formatting and design is in line with best practice internal communications approaches.
  • Supports change communications and designs and implements change management plans, as necessary.
  • Performs other duties as assigned.

EMPLOYEE ENGAGEMENT & RECOGNITION

  • Assists with annual global employee recognition awards, for example HIAS Values Awards and Staff Anniversaries.
  • Creates internal campaigns for organization-wide initiatives, for example the HIAS 2030 Strategy implementation, and more.
  • Assists with coordination, planning and design of internal staff events, including internal learning series (HIAS Learns) as well as monthly staff meetings and town halls.
  • Facilitates and moderates internal staff events over zoom, as needed.
  • Performs other duties as assigned.

INTERNAL COMMUNICATIONS SYSTEMS

  • Serves as point person for internal communication software, such as ContactMonkey and DeepL, Zoom Webinar, including liaising with IT, and providing light tech support and training to internal users.
  • Manages content on intranet system, including coordinating with content leads to keep information up to date.
  • Performs other duties as assigned.

HIAS’ JEWISH & HUMANITARIAN IDENTITY

  • Supports Jewish holiday office celebrations, including scheduling, set-up, and content.
  • Coordinates and facilitates roll-out of staff education and information about HIAS’ identity.
  • Performs other duties as assigned.

Qualifications & Requirements

  • Solid work experience in internal communication or employee engagement teams in global organizations, or demonstrable transferable skills.
  • Proven ability and successful experience in creating and managing effective communications initiatives that cater to audience needs, including newsletters, staff meetings and events.
  • Experience with employee engagement tools extremely helpful.
  • Exceptional organizational and project management skills.
  • Outstanding written, verbal, and visual communications skills, demonstrating clarity of thought, ability to influence, and skill in adopting appropriate tone.
  • Understanding of written style/voice, audience needs and interests.
  • Exceptional judgement.
  • Experience in creating talking points and written communication for other voices.
  • Ability to manage feedback coming from all sides, while seeing the full picture of the organization.
  • Discretion with sensitive information.
  • Track record of collaboration and positive, productive relationships with multiple internal partners.
  • Confidence in presentation and facilitation a plus.
  • Understanding of, or willingness to learn about Jewish holidays and events, and the intersection of Jewish values and humanitarian principles.
  • Experience with design software (Canva, Photoshop) extremely valuable.
  • Solid writing, editing, and proofreading skills.
  • Desire/openness to learn new software platforms as needed.
  • The successful candidate is likely to have 4-6 years of relevant experience.
  • Knowledge or proficiency in Spanish and/or French a plus.
  • Travel, to include travel to insecure operating environments, may be required.
