Job Description Summary

The Director, Meeting & Events Planner is responsible for organizing and executing a variety of meetings and events for Transamerica’s World Financial Group. This person is an individual contributor who is expected to work closely with vendors, travel specialists, marketing and event coordinators to provide the highest customer service to event participants.

Responsibilities

Job Description

  • Responsible for planning meetings and events for client and employee sales meetings. This includes but is not limited to: company hosted meetings, due diligence meetings, top producer meetings, gatekeeper meetings, sales conferences and company meetings.
  • Provide on-site event support, before and during events and meetings. Prepare and oversee company hosted meeting checklists.
  • Responsible for site selection and food and beverage selection, as well as makes arrangements for audio-visual, transportation and other services.
  • Provide expertise and guidance regarding event planning issues and processes including but not limited to housing management, food and beverage planning, meeting room sets, audio visual specifications, and travel services.
  • Research meeting sites, hotels and other vendors to compare services and cost estimates.
  • Responsible for determining and allocating budgets for conferences and managing the bottom line.
  • Negotiates and executes contractual agreements with vendors.
  • Maintain accurate and updated meeting records. Trend historical data for budgeting for future contracts.
  • Independently coordinate and execute some off-site and in-house meetings or events.
  • Responsibility to create and mange the registration and mobile app system for each event. Experience with registration software/technology such as Stova or Cvent would be a plus.
  • Ensure compliance with safety and legal requirements related to events.
  • Solves complex problems in creative ways; Significant initiative and independent judgment required; makes varied decisions; Operates with substantial latitude for un-reviewed action or decision; Might plan, conduct and supervise assignments, review progress and evaluate results; Exhibits leadership skills; mentors employees across teams.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 8 years experience in event and program management
  • Proficient computer skills including e-mail, routine database activity, word processing, spreadsheets, graphics, etc.

Preferred Qualifications

  • Strong interpersonal skills and the ability to work with diverse personalities in a tactful and flexible manner.
  • Good reasoning skills and sound judgment required.
  • Ability to effectively handle multiple projects, while meeting related deadlines.
  • Strong leadership skills, with the ability to organize, analyze and prioritize work assignments.

Working Conditions

  • Commuting Remote employees will need to report to a Company office location at times, but will perform their work primarily remotely.
  • Moderate overnight travel (up to 30%) by land and/or air. Up to 3 weeks at a time.
  • Ability to lift and/or carry 25-30 pounds of audio/video equipment and other meeting materials.

The Salary for this position generally ranges between $100,000 - $139,000 annually. This range is an estimate, based on potential qualifications and operational needs. Salary may vary above and below the stated amounts, as permitted by applicable law.

Additionally, this position is typically eligible for an Annual Bonus based on the Company Bonus Plan/Individual Performance and is at Company discretion.
