We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support across multiple functions, including multiple companies, personal affairs, real estate management, and various consulting roles. KEY RESPONSIBILITIES:

Administrative Support

  • Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize meeting materials, agendas, and minutes for internal and external meetings.
  • Handle correspondence, including emails, phone calls, and other communications, ensuring timely responses.

Project Management

  • Assist in the coordination and execution of projects across multiple companies, tracking timelines and deliverables.
  • Support with research, documentation, and communication with stakeholders.

Board and Consulting Engagements

  • Prepare materials and reports for board meetings and consulting engagements, ensuring clarity and precision.
  • Act as a liaison between board members, clients, and external partners, fostering strong relationships.

Personal Affairs Management

  • Manage personal calendars and schedules, including family events and commitments.
  • Coordinate personal travel arrangements, including logistics for family and private events.
  • Track real estate transactions.

Research and Analysis

  • Conduct research on industry trends, competitors, and market opportunities to inform decision making.
  • Summarize findings and present insights in a clear, concise manner.

Financial and Administrative Tasks

  • Assist with expense reporting, budget tracking, and invoicing for both business and personal accounts.
  • Manage documentation related to real estate properties, ensuring all paperwork is organized and up to date.

General Office Management

  • Maintain an organized filing system, both digital and physical, for easy access to important documents.
  • Ensure the office environment is professional and welcoming.

QUALIFICATIONS:

  • Proven experience as an executive assistant or in a similar role supporting senior executives. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively in a dynamic environment.
  • Possess a proactive, solution-oriented mindset with the ability to anticipate needs and adapt to rapid change.
