The Operations Manager oversees all aspects of manufacturing which includes coffee roasting, production, inventory management, and fulfillment for our growing eCommerce business. This role ensures efficient operations, from green coffee sourcing to product shipment, while maintaining high-quality standards and streamlining processes to meet business goals.
Key Responsibilities:
Roasting Operations Management
- Oversee the daily roasting operations, ensuring quality control and consistency across all batches.
- Work closely with the roasting team to maintain and improve product quality.
- Manage inventory levels of green coffee beans and other supplies, ensuring timely reordering and minimizing waste.
- Develop and manage the production schedule to meet eCommerce demand, wholesale orders, and any other distribution channels.
- Collaborate with suppliers to ensure the timely delivery of raw materials and packaging.
- Monitor and optimize production workflows to increase efficiency and reduce costs.
- Ensure that all equipment and machinery (e.g., roasters, grinders, packaging machines) are used properly by staff, following safety protocols.
- Establish and oversee preventive maintenance schedules to minimize downtime and ensure peak performance.
- Coordinate with vendors or technicians for repairs and upgrades as needed.
- Maintain detailed logs for equipment maintenance and ensure compliance with operational standards.
- Oversee the eCommerce fulfillment process, ensuring accurate and timely order processing.
- Collaborate with logistics partners to improve shipping times and reduce costs.
- Manage warehouse and storage spaces, optimizing for organization and efficiency.
- Lead, train, and develop the operations and production teams to ensure smooth daily operations.
- Foster a positive team environment with a focus on accountability, continuous improvement, and safety.
- Schedule and manage labor to meet operational needs without overstaffing.
- Continuously review processes for opportunities to improve production speed, reduce costs, and enhance product quality.
- Develop and implement quality control protocols across all stages of roasting, packaging, and fulfillment.
- Ensure all operations comply with health, safety, and food safety regulations.
- Develop and implement safety training programs for staff.
- Monitor the operations budget, looking for ways to reduce costs without compromising quality.
- Prepare reports on operations metrics, including production costs, order fulfillment times, and inventory levels.
- Work closely with the customer service team to address any operational-related issues, such as delays or quality concerns.
- Implement customer feedback to improve operational efficiency and product quality.
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
- 3-5 years of experience in operations management, preferably in a eCommerce, coffee roasting or food production environment.
- Strong understanding of the coffee roasting process, supply chain management, and eCommerce operations.
- Proven leadership and team management skills.
- Excellent organizational, problem-solving, and communication skills.
- Experience with inventory management software and eCommerce platforms.
- Experience with manufacturing principles.
- Familiarity with coffee quality standards.
- Knowledge of food safety and handling regulations.
