Job Overview:
We are seeking a highly organized and proactive Executive Assistant to join our investment team. This role will primarily support the CEO, ensuring seamless administrative operations. While this position offers leadership opportunities, its primary focus is on providing direct support to the CEO rather than managing large teams.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative assistance to the CEO, including calendar management, travel coordination, and meeting scheduling.
- Team Coordination: Facilitate communication and alignment across departments, ensuring the CEO’s priorities are consistently supported.
- Meeting Preparation: Prepare meeting agendas, documents, and presentations; take detailed minutes and ensure follow-up on action items.
- Travel Management: Organize complex domestic and international travel arrangements, including flights, accommodations, and ground transport.
- Expense Management: Handle and process expense reports for the CEO, ensuring accuracy and adherence to company policies.
- Event Planning: Coordinate corporate events, offsites, and meetings with detailed attention to logistics.
- Communication Management: Act as the primary point of contact for internal and external communications, ensuring timely and clear information flow.
- Ad-hoc Projects: Lead and execute special projects as assigned, demonstrating initiative and independent problem-solving.
Qualifications:
- Experience:
- Proven experience as an Executive Assistant, ideally within financial services or a fast-paced corporate environment.
- Demonstrated ability to manage complex schedules and handle confidential information with discretion.
- Skills:
- Exceptional organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
- Ability to thrive in a dynamic environment while managing multiple priorities.
