Job Overview

We are seeking a highly organized and detail-oriented Event Coordinator to join our dynamic team. The ideal candidate will be responsible for executing, and overseeing various events from conception to completion. This role requires a creative mindset, excellent communication skills, and the ability to manage multiple tasks simultaneously in a fast-paced environment. The Event Coordinator will work closely with clients to ensure their vision is realized while maintaining high standards of hospitality and service. As our offices are based in Palm Beach, we work throughout South Florida as an established supplier delivering creative and innovative programs for corporate meetings, social events and incentive travel groups.

Duties

  • Plan and coordinate all aspects of events, including logistics, catering, venue selection, and vendor management.
  • Execute events, transportation, tours and all program logistics for clients.
  • Confirming all logistics of programs including staff, vendors, transportation and client communication
  • Input and monitor client manifest in Excel, secure staffing for airports and venues
  • Coordinate transportation scheduling, confirm and communicate with all vendors, clients and staff.
  • Create a program recap to include all details pertaining to the program timeline, load in and out schedules, items being provided, etc.
  • Supporting sales team with client requests and administrative work
  • Will be on call during program operations – must have company provided phone during operations on call schedule
  • Site inspections with clients as requested walking through venues and logistics
  • Being on site during program operation
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.

Requirements

  • Proven experience in event planning or coordination within the hospitality industry.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Flexibility when is comes to scheduling - This role will require some nights and weekends
  • Excellent communication and interpersonal skills for effective client interaction.
  • Experience in catering management and banquet coordination is highly desirable.
  • Ability to upsell services and negotiate contracts effectively.
  • A creative mindset with a keen eye for detail in event design and execution.
  • Proficiency in Microsoft Office software
