Zimmerman Associates, Inc. (ZAI) is currently seeking to hire an Administrative Assistant to support a government contract bid in the Bethesda, MD area. This is an onsite employment opportunity. However, consideration will be provided for teleworking upon customer's approval.

Role And Responsibilities

The Administrative Assistant has overall responsibility for providing administrative support and other assistance as requested in support of the IRMAC operations. The Administrative Assistant will work collaboratively with the IRMAC Director, Referral Management and Appointing Chief Supervisor in completing daily and long-term tasks to support the efficiency of the IRMAC, including, but not limited to preparing briefs for the IRMAC Director, Appointing and Referral Chief and compiling files for the IRMAC operations.

Qualifications/Skills And Experience

  • Associate degree or an equivalent business school certificate, with 4 years' related experience.
  • U.S Citizenship required as well as ability to obtain a Public Trust Clearance.
  • Must have strong verbal and written communication skills and the ability to exercise sound judgment.
  • Expertise in Microsoft Suite of Products, including Word, MS Excel, Windows 2000/XP, a desktop publishing program and common windows-based applications.
  • Excellent organizational skills, i.e., ability to manage time effectively, prioritize tasks, set goals, and implement plans for achieving those goals.
  • Strong interpersonal skills to professionally interface with clients and staff.
  • Ability to anticipate the needs of IRMAC and IRMAC team members, staying proactive, organized and informed.
  • Able to understand the needs of the IRMAC and IRMAC team members, i.e., schedules, priorities and preferences and potential challenges they may face.
  • Resourceful, efficient and able to think ahead to provide solutions before issues arise.
  • Ability to perform complex and detailed clerical and administrative work with accuracy.

Essential Tasks

  • Provide daily and weekly updates to the Chief of the IRMAC, Director of the IRMAC and leadership concerning calendar issues/contradictions/need for modifications/coordination with other staff and meetings.
  • Collect and analyze data as well as respond to oral and written inquiries from the IRMAC leadership.
  • Manage inventory of assets and office supplies.
  • Schedule and coordinate meetings, projects, interviews, events, and similar activities.
  • Prepare business correspondence (using word processing, spreadsheet, and presentation computer software).
  • Attend off-site meetings throughout the NCR Medical Directorate (MD) as necessary and take minutes or prepare task lists for distribution to staff as requested.
  • Take dictation and minutes. Accurately enter data.
  • Maintain staff confidentiality.
  • Perform administrative duties that support referral and appointment management, applicable information and communication management and other duties in support of MHS beneficiaries.
  • Perform all the duties of a Call Center Agent.
  • During peak call volume periods, will assist in answering calls within the Call Center, receiving patient calls and determining appointment needs according to managed care rules.
  • Search for patient demographics in MHS-GENESIS.
  • Verify patient eligibility status.
  • Provide clinic appointments access, T-cons to doctors and administrators.
  • Scheduling appointments when needed.
  • Referring patients to appropriate MTF.
  • Advising patients on location of clinics.
  • Initiating calls to patients to process waitlist if needed.
  • Compiling information into statistical reports.
  • Spot checking scheduled appointments.
  • Perform other duties as assigned by IRMAC leadership.
