Are you an experienced Executive Assistant interested in joining our biotech client that is leading the way in developing innovative CAR-T cell therapies for cancer treatment? This is a 6-month Contract opportunity with a potential for permanent hire based on performance and overall business needs.
Role Summary
Executive Assistant to VP Clinical Development, Autoimmune Lead & VP Scientific Advisor, Autoimmune.
Key Responsibilities
- Provide Executive Assistant support to VP level
- Multiple diary management – liaising with external/internal VIPs, government bodies, medical and scientific collaborators, suppliers, consultants, and colleagues.
- Arrange complex domestic and international travel, conference attendance, visas, and accommodation (personal & work related).
- Flexibility to adapt to different time zones to suit Executive’s needs
- Scheduling meetings F2F, TC’s and VC’s (using software such as MS Teams / WebEx).
- Organise Leadership and high priority meetings.
- Be responsible for the Monthly Management Report collation
- Manage, create, and receipt Purchase Orders.
- Support for multiple consultants where required
- Collate, check, reconcile expenses for the designated Executives whilst maintaining a record of expenses each to assist with budget and planning, using Microsoft D365
- Organization of other ad-hoc meetings/interviews, as requested.
- Working closely with the other members of the Corporate Support team to organise and support events (i.e., conferences).
- To provide other Executive Assistants with support during A/L or absences.
- Any other duties as required following consultation with the post holder.
- The post-holder will be responsible for adhering to all health and safety guidance, provided by the Company.

Demonstrated skills and competencies
E – Essential
P – Preferred
- At least 4 years’ experience working in an office environment providing high quality personal assistance support to senior level executives (E)
- Experience working in biotech/pharma industry or hospital or medical clinic setting (E)
- Experience of supporting commercialization within pharma (P)
- Experience coordinating complex travel logistics and working across different time zones (e.g. to set up conference calls etc.) (E)
Skills/Specialist knowledge
- Microsoft Office Skills - excellent proficiency in Word, Excel, PowerPoint and Outlook required (E)
- Excellent time management skills with the ability to multi-task (E)
- Excellent organisational skills (E)
- Strong written and verbal communication skills (E)
- Ability to handle details of a highly confidential and critical nature (E)
