Position Overview

All Achievement Centers for Children & Families (ACCF) employees are required to uphold the mission and vision of ACCF, and to foster an environment that promotes the academic, social, emotional and physical development of each child enrolled.

The Site Coordinator is responsible for the overall planning, designing and development of program content and schedules for Out-of-School and Summer Camp programs. This individual will ensure that subjects and activities align with ACCF policies, as well as requirements set forth by licensing, monitoring, funding and contract agencies. This role supervises frontline staff, guides the team to ensure all programmatic and administrative requirements are met and disseminates relevant changes in standards and requirements.

Duties & Responsibilities

Program Management & Staff Development

  • Responsible for the daily operation of the Out of School program at designated site
  • Ensure quality programming and research-based curricula
  • Manage and lead personnel
  • Maintain fiscal responsibility for the site
  • Manage personnel, staffing patterns/coverage, and quality of services delivered
  • Conduct and/or assign leadership to provide weekly programmatic staff meetings
  • Confer with personnel on agency policies and procedures, including but not limited to grievance concerns, disciplinary matters, PTO, scheduling, confidentiality and professional conduct
  • Work with affiliated funders, agencies, volunteers and administrators as necessary to provide resources, assistance, direction and input as required
  • Hire, train and direct program staff while motivating and inspiring excellence
  • Provide staff with current ACCF policies and procedures, and ensure that each staff member understands and complies with the policies and procedures
  • Regularly inform key administrators of program concerns, delivery of service, activities, events and in all matters where approvals and coordination of efforts are required
  • Act as a liaison with agency's leadership team and other programs to ensure quality programming-based practices and curriculum
  • Oversee administrative program, operations and other functions, ensuring accuracy of attendance and enrollment reports, data collection and fee collection within ProCare Client Management System
  • Communicate regularly with Family Support team on client needs and wrap-around services
  • Foster an effective working relationship with school Principal supporting his/her school objectives
  • Coordinate volunteer participation with appropriate personnel
  • Work with Human Resources to ensure all program personnel have appropriate and updated credentials, training, continuing education and screening
  • Work within budgetary guidelines and confer with the finance team concerning fiscal management and budgeting; lead and direct appropriate staff in program spending and reporting, and coordinate with the finance team, COO, Foundation and CEO on key financial issues

Programmatic Effectiveness

  • Work with the Leadership Team to strategically develop programming consistent with ACCF's mission, vision and values
  • Work collaboratively with the Director of OOS Programs, including implementation of planned curriculum and assignment of staff to other ACCF OOS programs when needed
  • Ensure accurate collation and input of data, evaluation tools, and the administration of action plan; collaborate with school personnel to obtain report cards and test scores for student progress
  • Responsible for the implementation and effectiveness of programs
  • Monitor program evaluations and manage corrective actions as needed
  • Confer with parents as needed, conduct conferences, and act as a resource for the Family Support Program, as well as other areas of parental involvement
  • Promote parent, family and community involvement in program activities by assigning and overseeing leadership opportunities and effective partnerships
  • Responsible for recruitment, curricula, event plans and schedule of activities
  • Work with appropriate personnel to assemble and analyze outcome results to develop goals and/or administer corrective actions based on results
  • In conjunction with the Director of OOS Programs, direct and shape the curriculum and teaching processes for the OOS Program for students.
  • Provide training in the use of educational materials and techniques, and work closely with school district personnel to apply the appropriate rules and regulations, when applicable
  • Lead instructional methods, mentoring new staff, teach workshops and observe Youth Development staff in the classroom, providing constructive feedback based on evaluations.

Regulatory & Monitoring Compliance

  • Ensure program compliance with all rules, regulations and requirements set forth by the agency and Board of Directors
  • Maintain working knowledge and oversee adherence to agreements, Health Department Rules & Regulations, compliance requirements, deliverables and outcomes for all contracts and grants
  • Ensure program compliance with all contractual and accrediting agencies, including but not limited to Prime Time, Early Learning Coalition, and PBC Summer Scholarship Program
  • Review program reports submitted by assigned personnel for accuracy before submitting
  • Obtain all required credentials, training and continuing education necessary to perform job duties and meet standards
  • Work within budget guidelines and confer with key personnel on a regular basis concerning fiscal management
  • Provide narratives, financial information and required documents for funding and board proposals
  • Attend training sessions and meetings as required
  • Oversee personnel to supervise and complete all aspects of the Food Program, including but not limited to: applications, reimbursements, record keeping, menu planning, ordering of food and supplies and delivery of service when applicable.

  • Review and supervise program staff to ensure quality delivery of services
  • Ensure time and attendance records for each employee are properly prepared and submitted by the deadline each pay period to HR. Verify that clock hours shown correspond with number of hours of work and leave reported. Notify employee if a correction needs to be done and ensure corrections are made. Notify HR immediately of any discrepancy that cannot be corrected.
Requirements:

Education & Experience

  • Bachelor's Degree in education, public administration or nonprofit management from an accredited college or university preferred
  • 3 years' experience in nonprofit program management, direct service and personnel and budget management
  • 45-hour DCF course and Director Credential preferred (or willingness to obtain credentials within the first year of employment)
  • Demonstrated experience leading and developing teams

Essential Physical Abilities
