Location: TRA Administrative Office - Downtown Tacoma

Schedule: (Hybrid Remote / in office work available after 90-day training period)

  • Sunday: 6:30AM - 3PM
  • Monday: 6:30AM - 3PM
  • Tuesday: 7:30AM - 4PM
  • Wednesday: 7:30AM - 4PM
  • Thursday: 7:30AM - 4PM


Pay and Benefits:

New employees to this role can expect to be offered $18.66 - $22.21 per hour based on relevant experience, skills, and abilities.

Job Summary:

The Physician Administrative Support (PAS) team member supports a fast-paced healthcare organization with high call volumes and complex administrative tasks. The radiologists rely heavily on the PAS team to coordinate time-sensitive tasks, facilitate communication between providers, and communicate critical results to referring physicians and healthcare providers in an accurate and timely manner.

This position also provides some additional administrative support to other departments within the organization. It demands a high level of professionalism and the ability to work efficiently under tight deadlines. This position reports to the supervisor of the department, under the direction of the Administrative Services Manager.

Essential Job Functions:

Manage multiple phone lines and direct calls using a centralized phone system:

  • Ensuring calls are routed to the appropriate radiologist
  • Relaying pertinent patient and/or examination information and instructions between radiologists, technologists and other health care providers
  • Utilizing / accessing multiple EMR systems


Process time-sensitive tasks:

  • Relay critical results; initiate emergency back-up support protocol for radiologists; escalate STAT reads; etc.
  • Problem-solve technical issues related to image acquisition for interpretation: troubleshooting and working closely with IT as needed
  • Provide overall office support to include but not limited to: assisting with administrative tasks, emails, perform research activities, faxing, mail distribution, type and disseminate letters, compose and maintain routine documents when necessary, coordinate special projects in support of other departments
  • Maintain confidentiality at all times, as required by facility policy and HIPAA privacy and security guidelines


Qualifications:

Education/Work Experience

High School Diploma or GED required.

Associates degree preferred or equivalent two years administrative and/or receptionist experience.

Medical terminology background preferred.

Job Knowledge/Skills

  • High degree of flexibility with ability to adapt quickly to change.
  • Strong organization and follow-through skills with ability to find/utilize resources appropriately.
  • Must possess strong computer skills and comfortable using multiple applications.
  • Must work well with others, as well as work independently with minimal supervision.
  • Ability to problem solve and engage in critical thinking.
  • Excellent oral and written communication skills.
  • Ability to interact effectively with physicians, clinical staff, management and vendors.
  • Effectively communicate medical findings.
  • Familiarity with medical terminology.
  • Basic knowledge of MS Office.
  • Ability to use multiple software programs
  • Ability to manage multiple tasks and carry out instructions effectively.


Physical Requirements

Work is classified as sedentary in physical requirements. Requires the ability to lift/carry 1-5 pounds frequently, occasionally 10 pounds maximum.

Mental Requirements

Work requires high attention to detail and the ability to handle mentally stressful situations. The ability to maintain high level of sensitivity towards confidential information is also required.

Working/Environmental Conditions

Work environment consists of normal office or administrative working conditions. There may be exposure to communicable diseases. There will be limited exposure to ionizing radiation.
