Role Summary: We are seeking a highly organized and proactive Executive Assistant to support our President & Chief Operating Officer (COO). This role requires a dynamic individual who can effectively manage a wide range of responsibilities, from scheduling and event planning to travel coordination and communication. The ideal candidate will be detail-oriented, adaptable, and able to handle multiple tasks efficiently.

Responsibilities

  • Provide a high level of communication with President & COO, executive leaders, and business leaders throughout the community.
  • Ensure success for President & COO by protecting calendar through assisting with protected blocks, managing conflicts and fielding requests.
  • Scheduling and booking out of town trips including flights, hotels, and ground transportation.
  • Manage scheduling needs including directing internal and external schedule requests, booking reservations and strategically plan necessary meetings, happy hours, and lunches.
  • Manage and review President & COO's monthly expense reports.
  • Maintain and update the events calendar and coordinate events such as conventions and conferences.
  • Provide support for conferences, offsite meetings, and group dinners, including catering, accommodations, and occasional travel to provide on-site support.
  • Organize and manage weekly, monthly and quarterly meetings, including gathering content, preparing slides, and running point on presentations.
  • Occasional event planning for both internal and external events. Full execution for smaller events and team support for larger events.
  • Assisting with strategic projects to help efficiency. Gather information, run data, and develop reports to ensure success.
