As the Museum Specialist you will:

  • Coordinates and manages the work processes of the PDE-I by means of work order requests, calendar scheduling and resource management tools. This role coordinates imaging across all studios, organizing photographer and art move schedules to maximize use of space and staff resources. Utilizes the work order management system (IRIS), NetX and TMS to perform the functions of asset discovery, quality assurance and delivery of work orders. Assist with image cataloging as needed. Conducts assignment and scheduling of projects based on institutional priority, space and staff resource availability. Manages client inquiries and expectations. Supports department staff and Department Head in achieving project objectives. Creates and maintains documentation of imaging project lists and assists with developing and executing project plans. Uses the Gallery’s collection management system (TMS) and NetX collections to retrieve information, produce reports and generate object photography lists. Coordinates with departmental staff to ensure accurate capture information is recorded in the Gallery’s digital asset management system (eDAM). Monitors and reports on project status using Wrike and any other relevant software applications.
  • Proactively aids the department head with a variety of administrative functions, such as, creating budget reports, imaging statistics, image collections, assist with preparing presentations and Oracle/ dept credit card allocation of payments. Purchasing includes general office and photographic supplies, by means of the DIVS purchase card, as well larger purchases using purchase orders and Oracle. Manages contractor contract payments and work schedules.
  • Provides support to photographic staff with the movement of works of art into and out of PDE-I studios to ensure efficient use of time and facilities. Schedules projects in consultation and in collaboration with curators, conservators and Gallery officials, to establish the most appropriate setting or action.
