Job Summary
We are looking for an experienced Part-Time Assistant to provide office, administrative and personal assistance to the Human Resources Department and Board Member.
Essential Responsibilities and Duties:
- Answer all incoming calls to the HR line and disseminate information as required and record messages or dispatch to appropriate areas of organization, when necessary.
- Schedule meetings on various topics and attendees as directed. Send agendas, reminders, and follow up if needed.
- Scan, file, and copy documents as directed. Approximate 4-6 hours a day when in office.
- Process benefit claims for Board Member.
- Type up Board meeting notes as required.
- Audit, process, and submit benefit claims to insurance carriers.
- Submit all claims with proper documentation for reimbursement.
- Assist with secretarial duties.
- Act as Personal Assistant to Board Member as needed.
- Coordinate remittance of payments for health related billing.
- Attend HR meetings as needed.
- Receive, organize, and re-distribute incoming mail and deliveries on scheduled office days.
- Greet and assist visitors on days in office.
- Order supplies, and interoffice maintenance including the CHRO's office.
- Update organizational charts as directed.
- Assist in assembling physical employee files.
- Bachelor's degree from a four year college or university and experience supporting executives.
- Writing and proofing skills are required.
- Demonstrate ability to multi-task, meet deadlines and work well under pressure.
- Must be well organized with superior attention to detail.
- Requires a high degree of initiative and professionalism.
- Demonstrate strong work ethic, reliability and ability to work well with minimal supervision.
- Must be comfortable interacting with staff at all levels.
- Must be able to quickly adapt to changing priorities.
- Experience with Microsoft Office; Word, Excel, and PowerPoint.
